Job Summary
A dynamic and organized individual is sought to fill the role of Dedicated Administrative Assistant at St. Lawrence University. The successful candidate will provide exceptional administrative support to the Academic Affairs Office, ensuring seamless operations and a high level of customer satisfaction.

Responsibilities
This role encompasses a wide range of responsibilities, including:
  • Greeting faculty, students, and visitors, answering questions, and making referrals as needed;
  • Managing and processing payment and reimbursement requests for academic dean's office research grants and conference/research travel funding;
  • Maintaining an Outlook calendar for the Associate Dean for Faculty Affairs;
  • Maintaining records for the Dean's Office;
  • Preparing regalia orders for Matriculation and Commencement events;
  • Coordinating with the Registrar's Office to produce Dean's Lists;
  • Preparing recruitment packets for job candidates;
  • Maintaining social media accounts for Academic Affairs;
  • Providing additional support to programs administered by the Academic Affairs Office;

Event Planning
The successful candidate will also be responsible for planning and scheduling events hosted by the Academic Affairs Office, working closely with the Associate Dean for Faculty Affairs and Director of CITA to plan New Faculty Orientation, and coordinating participation in Convocation and Festival of Science, Scholarship, and Creativity. Additionally, this role involves planning and scheduling events for the Arts Collaborative Committee, managing reimbursements related to AC events, maintaining the Arts Collaborative website and social media sites, and coordinating summer research student poster presentations at Family Weekend Honors Reception.

Education Department and Graduate Program Support
The Dedicated Administrative Assistant will assist with graduate program admissions and onboarding of new graduate students, using the Slate application system, and planning graduate student orientation. This role also involves assisting the Coordinator of the Graduate Program with communications with Athletics and graduate students, monitoring the Education department email account, and assisting the chair and graduate coordinator with reimbursements from the Education Budget. Other duties include ordering office supplies, assisting faculty with equipment purchases, processing student personnel paperwork, scanning documents, and maintaining department websites.

Requirements
To be considered for this exciting opportunity, applicants should possess:
  • An Associate's or Bachelor's degree and three years of secretarial/administrative experience; or an equivalent combination of education and/or experience;
  • Excellent oral and written communication skills, including correct spelling, grammar, punctuation, attention to accuracy, format, and professional presentation;
  • Excellent time management, organizational, and customer service skills;
  • Demonstrated ability with Microsoft 365 (including MS Word, Excel, PowerPoint, OneDrive, and Teams), Adobe, Outlook Email and Calendar, and webpage maintenance;
  • Experience with Drupal, Canva, Slate, and event planning.

Salary and Benefits
The salary for this role is $17.37 - $24.01 per hour, commensurate with experience and other factors permitted by law. As a full-time employee, you will enjoy a comprehensive benefits package, including health insurance, retirement savings, and paid time off.
