KEY RESPONSIBILITIES

  1. Support the Facilities Manager in executing various project initiatives as required.
  2. Assist the Facilities Manager with external communications and partnerships.
  3. Oversee all Facilities operations, providing direction and support as necessary.
  4. Establish, maintain, and organize the department's central documentation, including files and messages.
  5. Help Facilities personnel in sourcing parts, supplies, and materials.
  6. Prepare and manage Requests for Proposals (RFPs), bidding documents, and other contractual paperwork.
  7. Coordinate with vendors and manage the necessary contracts and documentation for each project.
  8. Administer the work order system, which includes receiving requests, assigning tasks, entering data, and overall system management.
  9. Assist in prioritizing tasks for Maintenance and Housekeeping teams.
  10. Support payroll processing and adjustments for the Facilities department as needed.
  11. Maintain accurate and up-to-date records for all ongoing projects.
  12. Perform additional duties as assigned.
