Key Responsibilities:

Administrative & Financial Oversight

  • Manage administrative operations, including payroll, accounts payable/receivable, and contracts, ensuring precision, timely execution, and adherence to company policies and GAAP standards.
  • Collaborate with the District Business Manager to prepare and oversee budget forecasts, ensuring accurate financial reporting and effective cost management.

Leadership & Operational Management

  • Guide, train, and mentor administrative staff, overseeing recruitment and performance to enhance productivity and engagement.
  • Engage in business unit management meetings, contributing insights on administrative processes and updates regarding operational performance.
  • Ensure timely processing of accounting and job cost data to uphold internal controls and meet monthly closing deadlines.

Vendor Relations & Compliance Management

  • Act as the primary liaison for vendors, suppliers, and clients, addressing inquiries and resolving any issues that arise.
  • Oversee the execution of contracts, insurance certificates, and bonds, ensuring compliance with legal and company standards.
  • Review and authorize accounts payable invoices within specified limits to guarantee accuracy and proper approval.

Additional Responsibilities

  • Ensure adherence to all governmental regulations and perform other duties as necessary, including tasks outlined in the business unit position scorecard.

Qualifications:

  • Bachelor's degree in Business Administration, Accounting, or a related field, or equivalent experience.
  • 8+ years of experience in administrative, supervisory, management, and payroll accounting roles, preferably in a unionized environment within the construction management sector.
  • Strong understanding of GAAP and regulatory requirements.
  • Proficient in MS Office Suite and familiar with industry ERP systems, ideally Rhumbix or Coins.
  • Excellent communication, organizational, and problem-solving abilities.
  • Self-driven with strong leadership skills and the ability to multitask and prioritize effectively.
  • Willingness to travel occasionally for meetings and events.
  • Exhibit a high level of professionalism when representing the company.
