Job SummaryWe are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team in Delray Beach, FL. This part-time position will be responsible for providing administrative support to our office, ensuring a smooth and efficient work environment.
Key Responsibilities- Reception Management: Greet guests and visitors, providing a warm and welcoming experience.
- Communication: Effectively communicate with colleagues, clients, and vendors through email, phone, and written correspondence.
- Supply Management: Order and stock office and break-room supplies, ensuring a well-stocked and organized environment.
- Vendor Relationships: Manage relationships with vendors for office and break-room supplies.
- Mail and Shipping: Collect and distribute mail and shipments accordingly.
- Office Support: Provide support services such as photocopying, compilation, and distribution of materials.
- Facilities Management: Serve as the point of contact for building management and input maintenance requests as needed.
- Conference and Break Rooms: Ensure conference rooms, supply rooms, and break-rooms are always neat, stocked, and maintained.
- Meetings and Events: Place orders for breakfast and lunch for meetings as needed.
- Administrative Support: Provide support to the Administration team with other duties as assigned.
- Positive Attitude: Demonstrate a positive and helpful attitude towards visitors and employees.
- Attention to Detail: Maintain a neat and organized office space.
- Technical Skills: Proficient in computer software packages, including Outlook, Word, and Excel.
- Problem-Solving: Possess strong attention to detail and problem-solving skills.
- Adaptability: Be adaptable and motivated to learn.
- Communication: Possess excellent written and verbal communication skills.
- Knowledge: Have knowledge of office procedures, practices, and equipment.
- Independence: Ability to work independently and in stressful situations.
- Multi-Tasking: Ability to multi-task and prioritize tasks effectively.
- Education: High School Diploma or equivalent.
- Experience: Two to three years of relevant experience in an office environment.
