Business Operations Assistant

Daily Services LLC is seeking an experienced Office Admin Assistant to join our team. This role is responsible for providing administrative support, ensuring seamless day-to-day operations, and contributing to the success of our organization.
Responsibilities- Client Engagement
- Greet clients and visitors in a professional manner, ensuring a positive first impression.
- Accommodate clients by checking them in and directing them to the appropriate staff member or department.
- Phone Management
- Answer and direct incoming calls promptly and professionally, addressing client inquiries and concerns.
- Record detailed messages and forward them to relevant staff members for follow-up action.
- Update call logs and appointment schedules for accurate tracking and record-keeping.
- Scheduling and Coordination
- Arrange appointments for clients and coordinate with colleagues to ensure availability and minimize conflicts.
- Manage calendars and confirm appointments as needed to maintain accuracy and efficiency.
- Mail and Package Handling
- Sort and distribute incoming mail to the respective departments or individuals in a timely manner.
- Prepare and dispatch outgoing mail and packages efficiently, meeting deadlines and ensuring reliability.
- Customer Service
- Provide assistance to clients with queries or issues, offering helpful information and resolving concerns promptly.
- Maintain a friendly and professional demeanor, fostering trust and satisfaction among clients.
- Lobby and Office Maintenance
- Ensure the lobby area remains tidy and organized, creating a welcoming atmosphere for clients and visitors.
- Water plants and contribute to maintaining the office space's aesthetic appeal.
- Financial Support
- Assist with banking activities, such as deposits or organizing financial documents, as required.
- Administrative Support
- Offer backup support to the Office Manager and Tax Clerk during peak periods or when necessary.
- Contribute to filing, document management, and other administrative tasks as needed.
- End-of-Day Procedures
- Log off phone systems and update appointment schedules for the following day.
- Complete any remaining end-of-day tasks, ensuring the office is prepared for the next day's operations.
To succeed in this role, you will need:
- A high school diploma or equivalent (some college education preferred)
- 1-2 years of experience in an office environment or customer-facing role
- Excellent communication and interpersonal skills
- Strong organizational skills with attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to multitask and prioritize in a fast-paced environment
- Professional and courteous demeanor
The ideal candidate will be able to:
- Sit or stand for extended periods
- Lift and carry office supplies up to 15 pounds
