As a Residential HVAC Service Coordinator, you will be the primary point of contact for our clients, providing exceptional customer service and ensuring that their needs are met. You will work closely with our technicians, customer service team, and management to coordinate scheduling, resolve issues, and provide timely and effective solutions.

Key Responsibilities:

  • Schedule and book service appointments with clients
  • Anticipate and mitigate conflicts in resource allocation to ensure a positive client experience
  • Confirm appointments with clients prior to technician arrival and notify them of any delays
  • Follow up with clients after service completion to ensure satisfaction and address any concerns
  • Resolve client issues promptly and effectively
  • Communicate clearly and professionally with clients, technicians, and internal stakeholders
  • Ensure accurate capture and maintenance of customer information
  • Stay up-to-date on company products, services, and policies
  • Dispatch and schedule technicians based on skill set and geographic location

Requirements:

  • Proficiency in Excel and Word
  • Experience with Service Titan software (preferred)
  • Excellent customer service and communication skills
  • Strong organizational and time management skills
  • Ability to adapt to new software and technology
  • Minimum 3-5 years of office/customer service experience (dispatch experience a plus)
  • Ability to think critically and provide solutions to client issues
