Rooms Coordinator

We are seeking a highly organized and detail-oriented Rooms Coordinator to join our team at McMurdo Station. As a key member of our Station Services team, you will be responsible for ensuring the smooth operation of our lodging facilities, providing exceptional customer service to our residents, and working closely with our Lodging Manager to plan for all incoming resident placements.
Key Responsibilities- Coordinate with the Lodging Manager to plan for all incoming resident placements.
- Communicate daily linen needs to the Steward Coordinator.
- Receive and act on communications from the Helicopter Coordinator, Fixed Wing Coordinator, Air Services Coordinator, and Area Management to plan for accommodations for arriving inland and field camp personnel.
- Track the movement of McMurdo residents to and from field camps, other Antarctic stations, and Christchurch.
- Coordinate with the Chalet Admin and Communications Coordinator to provide updates to the online community phone list on a daily basis.
- Assist the Lodging Coordinator, Assistant, as needed, in creating key packets for incoming flights or field camp members.
- Share duty of presenting arrival briefs for incoming residents.
- Provide customer service to the community for lodging issues.
- Assist with room inspections as needed.
- Send weekly dorm population updates to the Lead Water Plant Operator.
- Send weekly rosters to all of the RAs.
- Handle confidential matters in accordance with management policy.
- Interact with the National Science Foundation, military, and other agency officials in a professional and tactful manner.
- Provide direct support to the achievement of all metrics related to ASC.
- Comply with all ASC Environmental Health & Safety and Quality Assurance requirements and goals.
- Work to achieve ASC goals and contractual commitments.
- Participate in MCI trainings and drills as determined by supervisor.
- May be required to perform janitorial duties if needed.
- May be required to perform duties requiring repetitive motion.
- Must be able to lift the safety regulation maximum on a limited basis.
- Responsible for maintaining a safe workplace and ensuring safety is the highest priority in the workplace.
- High school graduate or GED.
- Current ServSafe Food Handler certificate must be obtained prior to deployment to Antarctica.
- Valid driver's license.
- Valid U.S. Passport.
- Two years of experience in a secretarial, administrative assistant, or office management position required.
- Basic computer skills with word processing, spreadsheets, and databases required.
- Previous experience with Station Services in Antarctica may be accepted in lieu of minimum experience.
