Job Description

The Center Coordinator of Operations is a vital role within Regina Caeli Academy, responsible for overseeing the day-to-day operations of the local center. This part-time, hourly position requires strong organizational and communication skills, as well as a deep love for the Catholic faith.

Key Responsibilities
  • Daily Operations
    • Ensure the facility is open and closed as scheduled
    • Collect and enter attendance data into FACTS SIS
    • Oversee cleaning and maintenance of the facility
    • Communicate with the landlord regarding facility use and maintenance
    • Coordinate with the national office for supply needs
    • Conduct regular drills and training sessions
  • Committee Management
    • Prepare committee sign-up sheets and schedules
    • Attend committee meetings and provide support
  • Center Records
    • Maintain accurate and up-to-date records, including family contact information and student schedules
    • Create and maintain a Center Binder for chores and dismissal
    • Store and maintain Center hard files
  • Student and Faculty Schedules
    • Update and maintain student and faculty schedules based on the Master Classroom schedule
  • Center Special Events
    • Organize and manage parent volunteers for events
    • Purchase necessary supplies for events
    • Ensure events align with RCA policies
  • Admissions and Family Interviews
    • Administer assessment tests and ensure fees are paid
    • Assist with tour and event setup
  • Book Distribution
    • Distribute books to tutors and oversee collection at the end of the year
    • Store and inventory unused books
  • Center Calendar
    • Maintain the Center calendar and add drills to the administrative calendar
  • Manage Center Petty Cash Account
    • Collect and account for monies
    • Deposit money into the Center account
  • Main Center Fundraiser
    • Serve as committee chair for the main fundraiser
    • Oversee ticket sales, auction, raffle, and corporate sponsorship
  • Staff Training
    • Assist with supplies and setup during staff training
    • Print and organize documents for staff training
  • End-of-Year Oversight
    • Oversee used book and uniform sale
    • Coordinate end-of-year cleaning and workday
  • Activities Outside of RCA
    • Assist with planning family picnic
    • Purchase necessary items for event activities
  • Coordinator Training
    • Participate in conference calls and attend summer coordinator training

The ideal candidate will have strong communication skills, good organization, timeliness, and a traditional view of the student/teacher relationship. A deep love for the Catholic faith and a commitment to living it day-to-day are essential. Curriculum and grading guidelines are provided, and tutors are trained to provide instruction and classroom management according to RCA standards.
