The Program Assistant plays a crucial role in managing daily office operations, which encompass various clerical tasks such as answering phones, organizing files, distributing mail, and welcoming visitors and volunteers. This position also involves database management and maintaining case files in accordance with program standards. You will initiate contact with prospective volunteers and coordinate interviews as necessary. Additionally, you will assist in organizing training sessions for volunteers and events aimed at volunteer appreciation and recruitment. In instances where staff or volunteers are unavailable, the Program Assistant may be tasked with casework responsibilities, including court preparation and attendance for a limited number of cases. Adherence to the best practices and policies of the Cass Elias McCarter Guardian ad Litem Program is essential.
Key Responsibilities Include:
- Providing administrative support to ensure the efficient operation of the county office under the guidance of the Program Coordinator II.
- Maintaining accurate records of child and case-specific information in the database and case files. This includes coordinating the receipt of monthly monitoring reports and ensuring data is accurately entered into the system.
- Executing administrative tasks that promote the effective achievement of program goals while maintaining confidentiality in line with HIPAA guidelines.
- Serving as a court-appointed Guardian ad Litem when necessary, ensuring that children’s advocacy needs are met in the absence of sufficient volunteer support.
- Managing special projects as assigned.
A high school diploma or equivalent, coupled with two years of administrative experience, or an associate degree with one year of administrative experience is required. A bachelor's degree or higher in a related field may substitute for experience.
Additional Qualifications:
- Proficiency in Microsoft Word, Excel, and Outlook.
- Experience in data entry, along with strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Capacity to exercise discretion regarding confidential information and case management.
- Aptitude for establishing and maintaining effective working relationships with volunteers, colleagues, and partner organizations.
- Ability to manage multiple tasks, prioritize responsibilities, and organize effectively.
- Capability to interpret and apply relevant policies and procedures.
