POSITION SUMMARY:
This role is responsible for managing Accounts Receivables while also providing essential administrative assistance. The selected candidate will support various Project Managers with a range of tasks outlined below. The ideal applicant is a collaborative team member with strong communication and organizational abilities. Attention to detail and proficiency in data entry and problem-solving are crucial. The ability to manage multiple tasks and address challenges as they arise is vital. Punctuality and reliability are key attributes for success in this position.
KEY RESPONSIBILITIES:
- Accounts Receivables – familiarity with job costing, chart of accounts, and related processes is required.
- Quickbooks – responsibilities include generating customer invoices, creating purchase orders, recording deposits, processing credits and adjustments, managing inventory items, performing bank reconciliations, and generating reports.
- Maintain precise and current records of customer interactions, payment agreements, contracts, notices to owners, and lien releases.
- Track and follow up on start packages and change orders from initiation to completion. Proficiency in Excel is necessary.
- Research and liaise with vendors/suppliers to obtain material pricing for estimates.
- Coordinate material sourcing and ordering, including issuing purchase orders.
- Compile and monitor submittal packages and the delivery of materials.
- Organize, file, and maintain all current project documentation.
- New Project Setup – including Leads, Estimates, Jobs, and Notices.
- Assist with incoming correspondence.
- Professionally screen and route phone calls.
- Provide administrative support such as filing, copying, and scanning.
- Execute daily administrative tasks as assigned.
- Ensure accuracy in work, plan, and organize time and resources efficiently, even under pressure.
- Carry out daily operational tasks effectively and promptly.
- Demonstrate attention to detail and problem-solving skills, with a creative mindset to suggest improvements.
- Ability to perform essential functions in the described working conditions.
EDUCATION AND SKILLS REQUIRED:
- High school diploma or GED.
- Valid driver's license.
- Advanced computer skills, particularly in Microsoft Excel, Word, and Outlook.
- Strong understanding of accounting practices and Quickbooks software (desktop version).
- Excellent communication and follow-up skills, with proficient email correspondence and organization using Microsoft Outlook.
- Exceptional organizational skills and attention to detail; ability to multitask and prioritize effectively.
- A proactive team player willing to tackle a variety of tasks.
- Effective communication with internal and external business partners at all levels.
- Professionalism in handling confidential and sensitive matters; trustworthy and reliable.
- Self-motivated with minimal supervision required.
- Fluency in English with strong writing skills, focusing on grammar and vocabulary.
WORK SCHEDULE:
Standard work hours are Monday to Friday, 8:00 AM to 5:00 PM, with occasional evenings and weekends as needed.
