Furthermore, ADG boasts the largest residency program in dermatology accredited by the American College of Veterinary Dermatology, fostering the training of future specialists.
We are in search of a Veterinary Operations Manager to guide our dedicated team. This role is pivotal in supervising administrative and leadership functions while also being actively involved in the daily operations of the practice. The position entails approximately 40% of time dedicated to administrative and leadership tasks, with the remaining 60% focused on direct patient and client support.
Team Leadership:
- Oversee the veterinary technicians and front desk personnel.
- Facilitate scheduling, training, and professional development for technicians and receptionists.
- Manage all facets of personnel administration, including recruitment, performance assessments, salary evaluations, and disciplinary measures.
- Ensure timely and accurate payroll processing.
Patient Care Oversight:
- Collaborate with all relevant parties to enhance patient admission, clinical workflow, and discharge processes.
- Assist technical staff in various aspects of patient care, including nursing, anesthesia, dermatological tests, surgical procedures, laboratory tasks, and pharmacy operations.
- Work closely with stakeholders to maintain comprehensive and precise patient medical and surgical records.
- Support the clinic by stepping in as necessary (up to 60% of the time).
Client Relations Management:
- Uphold outstanding customer service and client relations within the practice.
- Ensure prompt processing of referral communications and other clinic correspondence.
- Oversee appointment scheduling, ensuring accurate service type bookings and inclusion of all necessary details.
- Collaborate with veterinarians and regional operations managers to address client concerns.
Records Administration:
- Ensure all records are current, including client files, anesthesia logs, controlled substance documentation, laboratory reports, and more.
- Establish and enforce a systematic approach for chart retrieval, authorization forms, laboratory protocols, surgical records, euthanasia documentation, callbacks, client cards, and filing, ensuring compliance among staff.
Financial Oversight:
- Monitor key expenditures, including cost of goods, labor, and operational expenses, while identifying revenue opportunities to maintain budgetary compliance.
- Review daily charges to guarantee accurate fee capture.
- Partner with regional leadership to interpret income statements and financial data, executing prescribed financial management strategies.
Marketing Coordination:
- Collaborate with regional leadership to devise and implement marketing strategies and initiatives within the veterinary community.
- Ensure clinic staff effectively utilize marketing resources and apply authorized discounts.
Facility Management:
- Maintain the cleanliness and upkeep of the clinic, coordinating cleaning schedules with the technician lead and front desk staff.
- Work with operations to promptly address any facility-related concerns.
- Adhere to prescribed maintenance schedules for all equipment and machinery within the clinic.
