The Inventory Representative will play a crucial role in ensuring the smooth operation of our inventory management processes. This individual will be responsible for maintaining accurate inventory records, processing receipts, and preparing orders to meet the needs of our organization.
Key Responsibilities:
- Manage inventory levels, including cycle counts and maintenance of received shipments.
- Create and maintain production-based inventory orders and reports.
- Develop and implement efficient inventory management procedures and reconcile inventory discrepancies.
- Report stock issues to management, place product orders as necessary, and identify unusable products.
- Control all documentation associated with production and procurement processes and close transactions in a timely manner.
- Analyze trends and utilize planning tools to optimize production, schedules, and purchases.
- Prepare reports and communications to managers on inventory performance indicators as needed.
- Update data in the company ERP system regarding lead times, min/max stock levels, and other fields as required.
- Procure and manage fixed asset inventory requests, including quotes, receipts, invoicing, and tracking.
- Enter fixed assets, manipulative materials, textbook inventory, and all other purchasing information into the system and ensure receipt of equipment by the appropriate department.
- Initiate the purchasing process of fixed assets by entering equipment requests and details, obtaining tickets for approval, researching cost information quotes, ensuring all appropriate checks and balances have been met, and compiling information to give to the manager for approval.
- Track and monitor the purchase process, including order creation, issuance, tracking, status updates, invoicing, and RMA requests.
- Review and process vendor invoices and reconcile pricing as agreed and within established guidelines.
- Coordinate the donation/recycling/selling of retired assets and maintain and/or comply with the appropriate accounting and audit control requirements.
- Submit purchase orders and supporting documents to vendors while tracking delivery status and process receipt of products within specified time frames to avoid interruption to workflow and/or project completion.
- Maintain and update procurement documents (requisition and credit card purchase documents) in the systems used by the organization to support this function.
- Provide excellent customer service to all CSAC/SWMSCTF stakeholders.
- Complete administrative tasks needed to maintain and track all department projects.
- Assist with projects assigned by and to the department.
Requirements:
- Knowledge of computer hardware components, systems, and peripherals with experience in procurement.
- Knowledge of basic computer software applications, including MS Office products, email, and Internet access.
- Basic understanding of inventory accounting standards (e.g., procurement, cost accounting, accounts payable).
- Exceptional verbal and written communication skills, self-motivation, and ability to work independently.
- Experience maintaining and updating procurement records, with hands-on experience with an automated tool for this purpose.
- Ability to establish and maintain effective working relationships with various stakeholders in the service areas engaged in procurement activities.
- Excellent oral and written communications skills, with the ability to work with stakeholders in implementing new processes.
- Highly productive and self-directing, with attention to detail.
- Ability to interact effectively with all levels of management, vendors, visitors, trustees, consultants, and others.
- Ability to multi-task in a diverse work environment with several duties.
- Ability to work under pressure and deliver professional results while meeting various deadlines.
- Participates and interacts professionally during department meetings, company events, and/or trainings.
