Position Overview:

The Administrative Support Specialist plays a vital role in ensuring the smooth operation of our facility. This position involves performing clerical tasks and maintaining accurate records to assist the administrative team in fulfilling the facility's needs while upholding the confidentiality of all information and records.

Key Responsibilities:

  • Establish and maintain a positive rapport with all facility personnel, welcoming and assisting residents, visitors, vendors, and job applicants in a courteous manner.
  • Manage incoming and outgoing communications, including processing mail and answering telephones, while accurately recording messages and responding to inquiries.
  • Prepare and proofread various documents, including reports and correspondence, as required by staff.
  • Maintain databases and personal information records for residents, ensuring confidentiality and accuracy.
  • Assist in preparing admission packets and ensure their distribution to relevant departments.
  • Support other facility staff in their duties, prioritizing tasks effectively to meet deadlines.
  • Oversee the maintenance of office equipment and supplies, ensuring everything is clean, safe, and readily available for use.
  • Manage the telephone system, send and receive faxes, and ensure the postage machine is operational.
  • Order and track office supplies, liaising with vendors as necessary.

Qualifications:

  • Proficient in reading, writing, and following both written and oral instructions in English.
  • Typing speed of at least 40 words per minute with accuracy.
  • Ability to perform basic mathematical calculations and manage multiple tasks simultaneously.
  • Excellent phone etiquette, with the ability to handle high volumes of calls efficiently.
  • Strong sense of confidentiality and discretion in handling sensitive information.
  • Demonstrated teamwork and cooperation in assisting colleagues.
  • Possess patience, tact, enthusiasm, and a positive demeanor towards staff, residents, and their support networks.
