This position is an in-office role focused on Reception and Staffing in Davenport, IL.

We are seeking a Candidate Experience Specialist who will ensure a consistent and exceptional candidate journey that is welcoming and straightforward, aiming to reduce multiple touchpoints during the hiring process at Allied Universal. This role serves as the subject matter expert and the representative of the company to candidates within the designated market.
Key Responsibilities- Oversee applicants in the post-offer phase for a designated area, facilitating their progression through the onboarding steps.
- Arrange Onboarding and New Employee Orientation (NEO) for new hires by assessing completed background checks and their readiness for NEO in the Applicant Tracking System (iCIMS) and business intelligence tool (DOMO).
- Communicate with candidates via phone, text, and email to confirm their availability for Orientation and send confirmation emails through iCIMS.
- Monitor DOMO to ensure applicants are advancing through the necessary statuses.
- Background Check Completed (and no driving) > Schedule for NEO
- 3rd Party BG Check > Review BG and determine if complete, Schedule for NEO if finalized
- Ready for NEO > Reach out again to those previously contacted for NEO who have not responded
- NEO Scheduled > Confirm with candidates their NEO attendance and address any questions
- Background Check Initiated > Assist candidates who have not completed their BG invitation
- Background Under Review > Follow up with HR or candidates regarding the Criminal History card
- Background in Process > Contact candidates to inform them of the ongoing background check
- Update iCIMS statuses once applicants are scheduled through their profiles.
- Transition from NEO to On-the-Job Training (OJT).
- Provide work schedules to new hires.
- Coordinate with site managers to ensure new employees receive accurate information.
- Conduct final outreach to employees to confirm their first day is set as scheduled.
- Perform essential duties of the Onboarding Specialist in their absence.
- High School diploma or equivalent.
- Previous experience in a professional administrative setting.
- Able to concentrate and manage multiple tasks in a fast-paced environment.
- Capable of handling stressful situations calmly and professionally.
- Strong management skills; able to collaborate with diverse employees and motivate them to perform optimally.
- Highly proficient in Microsoft Office applications and adept at utilizing office management technology.
- Ability to take initiative, prioritize competing assignments, and effectively manage deadlines.
- College degree in business, human resources, or a related field.
- Experience in human resources and/or recruiting.
- Familiarity with iCIMS or other Applicant Tracking Systems.
- Experience with WinTeam or other Human Resources Information Systems.
- Knowledge of DOMO or other business intelligence tools.
- Medical, dental, vision, basic life, AD&D, and disability insurance.
- Eligibility for enrollment in our company's 401(k) plan.
- Eight paid holidays, five sick days, and four personal days annually.
- Vacation time accrued at a rate of 3.08 hours biweekly, with unused vacation paid out only as required by law.
