Job Summary:

The Executive Assistant will provide high-level administrative support to the Automotive Retail Dealer, managing schedules, coordinating meetings, handling communications, and performing various tasks to ensure the executive's efficiency and effectiveness.

Key Responsibilities:

  • Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements for the executive.
  • Communication: Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
  • Documentation: Prepare and edit reports, presentations, and other documents as needed.
  • Meeting Coordination: Organize and prepare materials for meetings, take minutes, and follow up on action items.
  • Project Management: Assist in the planning and execution of special projects and initiatives.
  • Office Management: Maintain office supplies, manage office equipment, and ensure a well-organized workspace.
  • Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.
  • Customer Relations: Interact with customers and stakeholders, providing excellent service and support.
  • Accounting Tasks: Post inventory and expenses and follow up on past due invoices.
  • Event Planning: Plan and coordinate special events.
  • Travel Arrangements: Handle travel arrangements and reservations for the dealer and other members of the organization as needed.
  • Personal Assistance: Assist the dealer with personal tasks, such as running errands and making personal appointments.
  • SharePoint and Teams Management: Manage our SharePoint and Teams environments.
  • Employee Support: Support other employees in becoming more proficient with Microsoft software.
  • Process Improvement: Create, implement, and document processes across departments and locations.

Qualifications:

  • Education: Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Experience: Minimum of 3-5 years of experience as an executive assistant or in a similar role.
  • Skills:
    • Excellent organizational and time-management skills.
    • Strong written and verbal communication abilities.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Ability to multitask and prioritize effectively.
    • High level of professionalism and discretion.
    • Strong interpersonal skills and customer service orientation.
    • Basic accounting knowledge and experience.
    • Experience with SharePoint and Teams management.
    • Ability to train and support employees in using Microsoft software.
