Under the guidance of the IT Manager, this role is responsible for the development and execution of a comprehensive technology project aimed at capturing, storing, and reporting data for the agency.

The IT Project Coordinator will formulate and manage a detailed project plan from initiation to completion, collaborating with the leadership team and other stakeholders to ensure all project milestones are achieved on time.

This position will monitor the implementation of the software project, identify challenges, and communicate project status to the leadership team and stakeholders.

Key Responsibilities:


Project Planning and Management:
  • Define project scope, deliverables, and objectives.
  • Identify critical project milestones and develop timelines to meet these goals.
  • Recognize potential risks and challenges, implementing strategies to mitigate them.

Stakeholder Engagement:
  • Serve as the primary contact for all project stakeholders, ensuring their expectations are met.
  • Conduct regular meetings to review project progress and gather feedback.
  • Develop a change management plan to handle adjustments to project scope and resources.

Quality Assurance:
  • Establish a quality management plan to ensure deliverables meet required standards.
  • Conduct quality audits to identify areas for improvement.

Resource Management:
  • Identify and allocate necessary resources for project success.
  • Monitor resource utilization and adjust as needed.

Compliance:
  • Ensure project adherence to relevant regulations and organizational policies.
  • Stay informed on industry best practices and regulatory changes.

Post-Implementation Review:
  • Conduct reviews to evaluate project success and document lessons learned.
  • Ensure all project documentation is archived for future reference.

Technical Oversight:
  • Provide technical guidance to the project team, ensuring alignment with project goals.
  • Address technical challenges as they arise.

Risk Management:
  • Continuously assess project risks and update management plans accordingly.
  • Implement risk mitigation strategies as necessary.

Vendor Coordination:
  • Manage vendor relationships and ensure successful delivery of project services.
  • Oversee software and hardware procurement and installation.

Collaboration:
  • Work with leadership across departments to ensure clarity in the project plan.
  • Maintain open communication with all stakeholders regarding project updates and issues.

Performance Monitoring:
  • Continuously monitor project performance and address any emerging issues promptly.

Training Coordination:
  • Coordinate necessary training with vendors and ensure staff receive required training.

Documentation and Financial Oversight:
  • Create and maintain comprehensive project documentation.
  • Monitor project budget and report financial status to leadership.

Continuous Improvement:
  • Propose suggestions for project enhancements as needed.
