An effective Senior Executive Support Specialist embodies organization, meticulousness, a commitment to quality, and the adaptability required in a fast-paced, deadline-driven corporate environment. In this position, you will collaborate efficiently within a team, represent the executive with professionalism and insight, and ensure the delivery of impeccable work results. Your daily responsibilities will involve engaging with various high-level internal stakeholders across different business sectors. You will need to modify procedures, processes, and strategies to fulfill assignments in alignment with departmental objectives.

KEY RESPONSIBILITIES

· Oversee intricate and comprehensive calendars for multiple executives.

· Evaluate incoming calls and assess their priority level, exercising discretion in sharing information.

· Manage the organization and logistics of both internal and external meetings.

· Coordinate and arrange complex domestic and international travel itineraries.

· Organize all facets of offsite conferences and external events, including catering and transportation arrangements.

· Process invoices and travel & expense claims for team members, ensuring adherence to policies and timely processing. Serve as a subject matter expert on relevant policies and procedures.

· Collaborate effectively with the administrative support team, fostering a positive partnership to ensure seamless support.

REQUIRED QUALIFICATIONS

· Minimum of 5 years of experience in Executive Administrative roles within Financial Services, Banking, or large corporate settings.

· Proven experience supporting executives at the Managing Director level or higher.

· Demonstrated experience managing calendars for senior executives and teams.

· Familiarity with Concur for Travel & Expense Management (executives often incur a high volume of client-related expenses).

· Proficient in Microsoft Office Suite (Outlook, Teams) and Zoom for coordinating internal meetings.

· Exceptional telephone etiquette and ability to juggle competing priorities, particularly in calendar management.

· Discretion and sound judgment in handling confidential matters, with a track record of interacting with senior management.

· Strong interpersonal, written, and verbal communication skills.

· A college degree is advantageous.
