Job Summary
A highly skilled Administrative Support Specialist is sought by Bristol Bay Shared Services (BBSS), LLC to provide exceptional administrative support services to our team in Fort Detrick, MD. This role will support U.S. Army Blast Injury Research Coordinating Office (BIRCO)/Joint Trauma Analysis and Prevention of Injury in Combat Program.

About the Role
This position requires a detail-oriented individual with excellent organizational skills to handle information requests and perform various clerical functions, including but not limited to:
  • Serving as a receptionist for the BIRCO to include answering phone calls and escorting visitors.
  • Preparing travel order requests and other travel documentation for CONUS and OCONUS travel by Government staff and for invitational travel orders according to DoD, Army, and USAMRDC policies.
  • Tracking and monitoring pre-travel requirements, and keeping travelers informed of travel document status. Assisting in the preparation of final trip reports and travel expenses for reimbursement.
  • Maintaining BIRCO personnel training records, as required, in the U.S. Army Digital Training Management System (DTMS). The Contractor shall notify staff of upcoming BIRCO required training to ensure they remain compliant with Ft. Detrick mandatory training requirements.
  • Preparing USAMRDC required infrastructure reports, including but not limited to, monthly space management and wireless billing reports. The Contractor shall serve as the alternate Records Coordinator and complete the Office Records Listing in Army Records Information Management System Office Account Information.
  • Preparing documents in accordance with Army Regulation 25-50, Preparing and Managing Correspondence, to include preparing Department of the Army memorandums, letters, executive summaries, information papers, and staffing of correspondence to include preparing Staff Action Summary Sheets on AMC Form 356 or equivalent.
  • Maintaining calendars for Government staff, as requested, to include the use of Microsoft Outlook in order to effectively communicate via email with other staff; use the Outlook calendar in order to schedule multi-person meetings for both personnel internal and external to the BIRCO; and manage multiple Outlook Calendars for separate staff members at once. The Contractor shall also alert staff to impending meetings, appointments, and be able to de-conflict meetings and other events.
Work Schedule
We have a Hybrid Schedule - 3 days on site, 2 days remote.

Requirements
The ideal candidate shall possess the following qualifications:
  • Ability to obtain and maintain an active SECRET Clearance prior to commencement of work. Interim SECRET Clearance are acceptable.
  • H.S. Diploma required, Bachelor's Degree preferred.
  • 2-5 years of recent relevant administrative support experience.
  • Experience supporting federal or military personnel is a plus.
  • Proficient in MS Office Suite, Office Management and Software Tools.
  • Strong communication and organization skills.
