Effective communication is paramount; the Project Manager must disseminate accurate information promptly to relevant stakeholders. Ownership of projects is crucial, with a focus on meeting established benchmarks and adhering to budgetary constraints.

The Project Manager will maintain strict control over project scope by managing client requirements and delivery processes. Any changes to the scope will be addressed in a structured manner to prevent budget overruns.

Position Classification: Salaried Exempt

Core Responsibilities

Initiation and Planning

  • Analyze project drawings to assess requirements, including inventory checks and equipment procurement.
  • Review client agreements and communicate key milestones to the project team.
  • Ensure availability of specialized items to prevent scheduling conflicts.
  • Forecast labor needs for both setup and teardown phases, establishing processes for project execution.
  • Develop and implement job budgets within the sports sector, linking costs to activities and materials for a comprehensive budget overview.
  • Discuss budgetary goals and expectations with relevant parties.
  • Obtain necessary permits from local authorities when required.
  • Participate in pre-planning meetings and conduct site visits to clarify project scope with clients and coordinate with vendors.
  • Schedule all rental equipment prior to project commencement and ensure timely returns.
  • Assign usage dates to structures to manage inventory throughout the project lifecycle.

Execution and Monitoring

  • Oversee build and dismantle timelines, informing Operations of any changes.
  • Conduct site visits to monitor progress and ensure compliance with timelines and quality standards.
  • Provide technical guidance to project teams to ensure adherence to specifications.
  • Assist Operations with inventory management and conduct formal counts of materials on-site.
  • Regularly update budgets to reflect current financial status.
  • Notify senior management of significant project plan alterations and budget adjustments.
  • Procure necessary materials to complete projects as needed.
  • Generate weekly reports for projects exceeding $200K and with a build duration longer than two weeks.

Project Closure

  • Contribute to the final build process to capture design modifications and enhance future project preparations.
  • Ensure timely reconciliation of all invoices.
  • Collaborate with operations on material allocation post-project.
  • Facilitate debriefings and document insights for future reference.
  • Establish processes for post-event evaluations, documenting both financial and operational performance for potential improvements.
  • Create as-built drawings for recurring projects to enhance accuracy in subsequent years.
  • Ensure prompt and complete return of all rental equipment.

Qualifications

  • Successful completion of background checks and drug screenings.
  • Frequent travel is a requirement of the position.
  • Possession of a valid driver's license and compliance with company vehicle operation standards.
  • Demonstrated cross-functional leadership abilities.
  • Exceptional communication and interpersonal skills.
  • Fundamental budget management capabilities.
  • Strong analytical and problem-solving skills.
  • Effective customer relations abilities.
  • Fluency in English, both written and spoken, is required; Spanish proficiency is a plus.
  • Proficient in computer and internet usage, including data management and Microsoft Office applications.

Supervisory Responsibilities

  • No direct supervision required.
  • Cross-functional leadership of Sales, Engineering, and Operations from proposal through event completion.
  • Indirect supervision and direction of field labor crews and temporary labor teams, along with the operations group to address inventory and logistics challenges.
