Position Summary:
We are currently seeking a Long-Term Temporary Entry-Level Project Coordinator to support our operations. This role will initially require full-time on-site presence, with potential for a hybrid work arrangement in the future. The standard working hours are from 8 AM to 5 PM.
Key Responsibilities:
- Assist in the execution of business events and operational tasks for the MA Americas team, including the organization of meetings and the preparation of confidential documents.
- Provide administrative guidance to facilitate problem-solving and prioritize workflow effectively.
- Monitor operating costs and initiate necessary actions as required.
- Handle contract processing and invoice management, ensuring accuracy and timely follow-up.
- Support cross-functional initiatives by coordinating events, communications, and training sessions.
- Manage databases and SharePoint sites, ensuring accurate data maintenance and reporting.
- Compile and analyze information to prepare reports, manuals, and other essential documents.
- Assist in the planning and logistics of departmental meetings and conferences.
- Coordinate travel arrangements and assist with expense reporting.
- Oversee time tracking entries and related system reporting.
- Facilitate the onboarding and offboarding processes for employees, collaborating with IT and HR departments.
- Perform additional responsibilities as needed to support the team.
Qualifications:
- Bachelor's degree with 2 years of relevant experience, or an Associate's degree with 4 years of relevant experience, or a high school diploma with at least 5 years of relevant experience.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), SAP, and SharePoint.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong organizational skills and interpersonal abilities.
- Experience in the pharmaceutical industry is required.
- Fluency in English, both written and verbal, is essential.
- Understanding of budget management and financial reporting.
- High commitment level, adaptable to changing environments and challenges.
- Ability to handle confidential information with discretion.
- Demonstrated problem-solving skills and sound judgment.
- Capable of working independently with minimal supervision.
- Able to navigate a complex global organizational structure.
Compensation:
Compensation will be based on experience, ranging from $21.50 to $36.77 per hour.
