Job Title: Partner and Vendor Management Manager

Alderson Loop is seeking a seasoned professional to lead the development and implementation of standardized processes for vendor and partner management. The ideal candidate will have expertise in business project management, with a focus on process improvement, traceability, and vendor spend management.

Key Responsibilities:
  • Process Development and Implementation:
  • Collaborate with internal teams to establish processes and procedures that ensure clear traceability between vendor purchase orders and associated projects.
  • Develop a detailed rollout plan for new processes and manage the implementation as a small project, ensuring all activities are completed on time and within scope.
  • Map current large vendor spend to specific projects or bodies of work, addressing gaps in reference numbers to alleviate pain points and improve tracking accuracy.
  • Document the current state of partner and vendor management, from initial request through to payment approval and ongoing tracking, providing a comprehensive view of the existing processes.
  • Stakeholder Collaboration and Issue Resolution:
  • Collaborate with key stakeholders, including OCIO, ITFM, Finance, and project teams, to identify pain points in current vendor and partner management processes.
  • Propose and document potential remediations, working with stakeholders to prioritize and select solutions that will drive the most impactful improvements.
  • Lead efforts to implement these solutions, ensuring they are completed by year-end 2024, and manage ongoing activities related to process refinement.
  • Process Remediation and Stakeholder Support:
  • Provide support to stakeholders throughout the remediation process by ensuring they understand the reasons behind process changes and have the tools and knowledge to operate within the new framework.
  • Work closely with the OCIO Portfolio Manager and IT Financial Management (ITFM) team to ensure new processes align with existing meeting cadences and reporting structures.
  • Suggest updates to roles and responsibilities within the organization to support the operation and administration of the new vendor management process.
  • Long-Term Vendor Management Strategy:
  • Collaborate with the OCIO and strategic consultants to develop both short-term and long-term plans for critical vendor management, ensuring that vendor management strategies align with overall business goals.
  • Lead efforts to set up governance and reporting structures that provide ongoing visibility into vendor performance and project alignment.
  • Governance and Standards Implementation:
  • Implement governance frameworks to ensure consistency in vendor engagement, tracking, and performance measurement.
  • Utilize project management expertise to oversee the successful implementation of vendor management processes, driving accountability and efficiency across vendor relationships.
Qualifications:
  • 5-7 years of experience in partner or vendor management, with a strong background in business project management and process improvement.
  • Proven ability to establish traceability between vendor purchase orders and projects, and to document and improve current state processes.
  • Strong relationship-building and negotiation skills, with experience collaborating across multiple stakeholders and departments.
  • Expertise in analyzing vendor spend, identifying gaps, and implementing solutions to streamline operations.
  • Excellent organizational skills, with the ability to manage complex projects and implement standards across vendor management processes.
  • Experience working with senior leadership to align vendor strategies with business goals.
