Position Overview
The Equipment Coordination Specialist is accountable for overseeing project planning and management for all equipment orders, which includes payment collection and installation from inception to completion. This role involves collaboration and support with the Sales and Service departments. We seek a team-oriented individual committed to the equipment life-cycle.
This position will alternate between roles in Procurement and Dispatch at the branch, as well as serve as a flexible team member to assist in various areas as needed. A willingness to learn and adaptability are crucial for this role.

Project Management:
- Oversee the equipment life-cycle: sales quotations, orders, receiving, invoicing, returns, job site evaluations, resource planning, staging, inspections, and inventory management.
- Monitor Gross Margin for all equipment sales.
- Collaborate closely with TechEdge Service Coordinators for resource and project planning.
- Coordinate equipment installation with the Service Department, Equipment Specialist, Territory Salesperson, and the Customer.
- Verify orders upon receipt from manufacturers and prepare equipment for customer delivery and installation, ensuring proper tagging for inventory levels.
Procurement Administration:
- Manage procurement of all equipment orders from internal and external customers while maintaining optimal inventory levels and determining ideal sourcing and timing for purchases.
- Handle invoices, prepare purchase orders, maintain equipment files, process credits and returns, create financial documents, and file UCCs for certain equipment.
- Oversee warehouse management, including preparation, counting, maintenance, and reconciliation of inventory using necessary systems and tools.
- Account for returns as branch inventory or vendor returns.
- Collaborate with external lenders to confirm finance approvals and payment collections.
- Work with vendors to investigate any pricing discrepancies between purchase orders and vendor invoices.
Customer Service:
- Exhibit a commitment to Patterson's values and professionalism through appropriate conduct at all times.
- Communicate professionally with customers and vendors; follow up as necessary.
- Associate's degree or higher with a focus on general business or accounting preferred, or at least 2 years of relevant experience.
- Proven soft skills including organization, attention to detail, analytical thinking, problem-solving, and collaboration.
- Demonstrated ability to prioritize tasks and manage time effectively.
- Established decision-making capabilities and sound judgment.
- Strong interpersonal and communication skills, both written and verbal.
- Ability to positively contribute to the Branch team environment by taking initiative to learn and enhance skill sets.
- Proficient use of technology.
- At least 1 year of prior experience in the dental industry.
- Experience in project management and/or accounting.
- Familiarity with technology, including Microsoft 365 and SAP CRM and ECC platforms.
- Demonstrated enthusiasm for learning and commitment to continuous improvement.
- Operating a computer or other office devices for the majority of the workday.
- Occasionally moving packages up to 10 pounds, such as office supplies or equipment.
- Communicating with others in person, over the phone, and in writing.
- Understanding and effectively exchanging accurate information with coworkers, customers, and vendors.
- Reading and interpreting various electronic and written documents.
This position is situated in an office environment where team members occupy designated desks or collaborate in meeting spaces. The primary work areas consist of desks, chairs, computers, and other office equipment.
