Job Summary

We are seeking a highly organized and detail-oriented Inventory Control Specialist to join our team at the University of Maryland Medical System. This role is responsible for ensuring timely delivery of appropriate supplies and linen to assigned inventories.

Key Responsibilities

  • Stock, inventory, requisition, and issue hospital goods to and from the main storeroom(s).
  • Inventory, re-stock, and manage sufficient inventory/linen levels in designated areas according to calculated PAR levels.
  • Create pick lists according to the defined process, pick goods from indicated locations, and deliver to designated areas.
  • Place goods with accuracy in bins, drawers, and racks, identifying part and stored location.
  • Serve as the primary point of contact for all supply/linen issues for assigned end-users.
  • Proactively maintain assigned storage areas by performing all associated tasks, including adjusting PAR levels, removing boxes/packing materials/loose items, and rotating stock.
  • Perform cycle counts of inventory locations when assigned.
  • Distribute incoming and outgoing mail per procedure.
  • Troubleshoot minor problems with copy equipment in the self-serve mail room and notify the vendor for unresolved repairs.
  • Perform inter–facility courier duties as assigned.

Customer Service

  • Greet customers in a courteous, friendly, respectful, and professional manner at all times.
  • Follow communication protocols to both internal and external customers, including introducing yourself with your job title and experience.
  • Respond promptly and appropriately to customer questions/concerns/complaints and attempt immediate resolution.
  • Keep customer information confidential, including in public places.
  • Provide assistance and offer help immediately, including finding someone else to meet the request if unable to do so yourself.
  • Demonstrate commitment to excellent service recovery when a customer's expectations have not been met.

Commitment to Co-Workers

  • Offer assistance to colleagues and other departments when needed.
  • Take responsibility for solving problems regardless of origin and complete assignments within deadlines.
  • Resolve conflict directly with colleagues and seek assistance from others if the issue cannot be resolved.
  • Mindful and respectful of others' time and schedules, attending meetings on time and communicating any absences.
  • Provide co-workers with a status report for continuity of workflow when planning to be out of the office, off the unit, or away from the department.

Communication Etiquette

  • Respectful, courteous, and professional in all forms of communication and follow the facility's service communication protocol in all interactions.
  • Refrain from using personal cell phones in patient care areas and keep usage to a minimum at all other times while on duty.
  • Do not text or use email during meetings (except for exigent or emergency situations).
  • Limit use of business cell phones during meetings (remain on vibrate and/or calls go to voicemail).
  • Make every effort to answer telephone calls within three rings, introducing yourself, department, and title (if appropriate).
  • Maintain an appropriate voicemail message and when away from the office have an out-of-office email message that is brief, current, and includes your name and department.
  • Return email and voicemail messages promptly but no later than within one business day (24 hours).
  • Always mindful of voice and language in public.

Self Management

  • Report to work appropriately groomed and in compliance with the Hospital's dress code, wearing an identification badge at all times at chest level and facing outwards so identification is clearly visible.
  • Complete all assignments within deadlines or negotiate alternative actions and time frames in order to achieve desired outcomes.
  • Complete mandatory, annual education and competency requirements.
  • Follow UMCAP safety, infection control, and employee health standards.
  • Demonstrate responsibility for personal growth, development, and professional knowledge and competency.
  • Adhere to all UMCAP and department policies and procedures, including the Code of Conduct and professional behavior standards.

Requirements

  • High school diploma, GED, or equivalent.
  • Less than one year of experience required; 1-3 years preferred.
  • Working experience with hospital supplies preferred.
  • Prior use of automated inventory and purchasing systems preferred.
