Service Operations Manager

Job Summary:
Oversee the efficient and profitable operation of the service department, ensuring productive staffing, customer retention, cost controls, and achievement of objectives.
Key Responsibilities:
- Develop and implement departmental goals and objectives, striving to meet or exceed targets.
- Recruit, train, motivate, counsel, and monitor the performance of service department staff.
- Conduct quarterly performance check-ins with service department staff, providing feedback and guidance.
- Approve vacation and sick requests, and draft disciplinary write-ups for time reporting violations.
- Prepare and administer an annual operating budget for the service department.
- Maintain reporting systems required by general management and the factory.
- Monitor and control department performance using reports, tracking systems, and surveys.
- Foster a culture of harmony and teamwork within the department and with other departments.
- Develop and implement a marketing plan to promote new and repeat business.
- Ensure compliance with federal, state, and local regulations affecting service operations, such as hazardous waste disposal and OSHA Right-to-know.
- Understand and ensure compliance with manufacturer warranty and policy procedures.
- Account for all documents, ensuring none are missing and all are processed correctly.
- Direct and schedule department employee activities.
- Facilitate and/or conduct technical training, sending employees to relevant training schools as needed.
- Monitor technicians' daily productivity reports and corresponding payroll records.
- Monitor and follow up on parts orders with the parts manager to ensure availability.
- Initial all repair orders before submitting them to the warranty department, monitoring for sales and hours relative to expectations.
- Establish and maintain good working relationships with customers to encourage repeat and referral business.
- Inform repair technicians of time allowances on each repair order.
- Maintain high-quality service repairs and minimize comebacks.
- Conduct periodic spot checks of completed jobs for thoroughness and quality.
- Stay up-to-date on new equipment and tools available, recommending purchases.
- Renew, maintain, and ensure shop software programs are kept up to date.
- Ensure the work areas and customer waiting area are kept clean.
- Establish and maintain good working relationships with vocational and technical schools to enhance personnel recruitment activities.
- Serve as a liaison with factory representatives.
- Ensure the proper care, storage, and inventory of special tools.
- Ensure customers' service files are up-to-date and readily available for reference.
- Ensure all customers are greeted promptly and given fair estimates on costs and time required for repairs and maintenance.
- Prepare pricing guides and maintenance menus for frequent labor operations.
- Handle customer complaints immediately and according to dealership guidelines.
- Establish and maintain 24-hour follow-up with all customers to confirm satisfaction with the service experience.
- Safeguard information system assets by identifying abnormalities, reporting suspicious activity, and contributing to the resolution of cyber security problems.
- Maintain a safe work environment.
- Maintain a professional appearance.
- Hold weekly department meetings.
- Complete company trainings as needed.
- Attend manager meetings.
- Perform other duties as assigned.
Qualifications:
- Two to four years related experience.
- Bachelor's degree.
- Valid Driver's License.
