Position Overview:
ROLE SUMMARY

The College Facilities Coordinator is accountable to the Facilities Supervisor and is integral to the coordination of facility rentals and emergency response strategies. This role serves as the primary contact for both internal and external stakeholders seeking assistance and information regarding campus facilities. The incumbent will manage classroom scheduling and support various capital projects related to campus facilities. Collaboration with multiple departments, including security, maintenance, and technology support, is essential to guarantee successful event execution on campus.

KEY RESPONSIBILITIES

1. Act as the primary liaison for users regarding scheduling and pricing for the rental of college facilities, including classrooms, auditoriums, and recreational areas.

2. Collaborate with various departments to coordinate facility usage and ensure seamless operations.

3. Maintain comprehensive records of facility usage and update the facilities management database.

4. Collect necessary indemnification and insurance documentation from external users.

5. Generate billing notices and invoices for facility users, ensuring timely payment for services rendered.

6. Oversee the campus event calendar and classroom booking processes.

7. Coordinate scheduled maintenance for facilities and prepare relevant documentation and reports.

8. Assist in the selection and evaluation of vendors for furniture and equipment related to facilities.

9. Monitor and manage the budget for facilities usage and related expenses.

10. Support campus safety initiatives and compliance with OSHA regulations.

11. Participate in emergency preparedness planning and response activities.

12. Assist with the technical setup for events, including lighting and sound.

13. Provide support to external agencies during campus events.

14. Perform additional duties as assigned.

QUALIFICATIONS

Knowledge Required:

1. Familiarity with concepts and procedures related to facility management.

2. Understanding of project coordination and time management principles.

3. Proficiency in record-keeping and reporting procedures.

4. Knowledge of federal and state regulations regarding safety and hazardous materials.

5. Competence in financial accounting practices and public sector accounting.

6. Proficiency in enterprise software and MS Office applications.

7. Awareness of modern office practices and technology.

8. Strong oral and written communication skills.

Skills and Abilities:

1. Ability to coordinate facility usage with effective logistical skills.

2. Competence in performing complex calculations and statistical analysis.

3. Capacity to undertake responsible administrative tasks with independent judgment.

4. Skill in interpreting and applying policies and procedures.

5. Proficiency in writing reports and business correspondence.

6. Ability to manage and update multiple budgets.

7. Patience and discretion in communication with diverse stakeholders.

EDUCATION AND EXPERIENCE

1. Associate's degree or equivalent from an accredited institution.

2. Minimum of two years of relevant experience in facilities management or administration.

Licenses and Certifications:

1. Valid driver's license required.

1. Bachelor's degree in a related field preferred.

2. Familiarity with facilities management software.

3. Bilingual skills are a plus.
