Job Overview

The GME Program Coordinator for the Internal Medicine-Pediatrics (Med-Peds) Residency Program plays a vital role in assisting the program directors with the comprehensive management of the residency program. This position requires exceptional organizational, communication, and analytical skills. The coordinator will work closely with program managers from both the Pediatric and Internal Medicine residency programs. Although the coordinator will have a designated office within the Department of Internal Medicine, collaboration and meetings will take place across various affiliated institutions. The standard work schedule is Monday through Friday from 8 AM to 5 PM, with occasional evening or weekend commitments necessary throughout the year.

Key Responsibilities

Manage the collection and maintenance of resident applications, providing guidance to prospective applicants regarding the application process, and coordinating interview schedules and itineraries. Initiate and oversee all hiring documentation for accepted residents, including HR paperwork, while collaborating with the Hospital GME Office and HR departments as required. Ensure the processing of all graduating residents' documentation. Prepare annual contracts for residents, and handle all aspects of licensing, privileging, and essential training, as well as organizing orientation schedules. Collaborate within the program to compile, organize, and maintain resident schedules, including call, conference, procedure logs, clinic, rotation schedules, and evaluations. Ensure compliance with ACGME guidelines for accreditation purposes. Enter and maintain scheduling data within Qgenda for resident management. Facilitate evaluation committee meetings and conduct semi-annual evaluations. Attend monthly meetings with Program Coordinators and Program Directors organized by the GME office. Maintain the program's external website and internal shared drives. Represent the program and department in national organizations or committees relevant to Med-Peds. Assist program leadership in organizing social events for residents and faculty, such as graduations, holiday celebrations, and wellness gatherings. Perform additional duties as assigned. Bachelor's Degree. Five (5) years of relevant work experience and/or specialized training may substitute for the educational requirement. Experience:
A minimum of one year of experience as a program coordinator is preferred.
