Job Overview

The GME Program Administrator for the Internal Medicine-Pediatrics (Med-Peds) Residency Program plays a vital role in assisting the program directors with the comprehensive management of the residency initiative. Exceptional organizational, communicative, and analytical skills are crucial for success in this position. The Med-Peds program administrator collaborates closely with program managers from both the Pediatric and Internal Medicine residency programs. Although the role is primarily based within the Department of Internal Medicine, collaborative engagements and meetings will take place across various affiliated institutions. The standard work schedule for this position is Monday through Friday, from 8 AM to 5 PM, with occasional evening or weekend commitments throughout the year.

Key Responsibilities

Manage the reception and upkeep of resident applications, ensuring effective communication with prospective candidates regarding the application process, and coordinating interview schedules and itineraries. Initiate all necessary hiring documentation for accepted residents, including HR paperwork, while liaising with the Hospital GME Office and HR departments as required. Oversee the processing of all documentation for graduating residents. Prepare annual contracts for residents, handling all licensing, privileging, script pads, badges, keys, and computer access training, as well as organizing orientation schedules. Collaborate within the program to compile, organize, and maintain resident schedules, which include call schedules, conference schedules, procedure logs, clinic rotations, and evaluations. Ensure compliance with ACGME guidelines for accreditation standards. Enter and maintain resident schedules in Qgenda. Facilitate evaluation committee meetings and conduct semi-annual evaluations. Attend monthly meetings with Program Coordinators and Program Directors organized by the GME office. Maintain the program's external website and internal shared drives. Represent the program and department in national organizations or committees. Assist program leadership in organizing social events for residents and faculty. Undertake additional responsibilities as assigned. Qualifications

Bachelor's Degree. Five (5) years of relevant work experience or specialized training may substitute for the educational requirement. Experience:
A minimum of one year of experience as a program coordinator is preferred.
