The Administrative Assistant will provide critical support to the Motor Vehicle Division Chief and other management staff of Branch Operations Central Office.

About the Role

  • This is a full-time position, working 40 hours per week, Monday through Friday, with a first shift schedule from 8:00 am to 4:30 pm.
  • The successful candidate will be based in Wethersfield, CT.

Key Responsibilities

  1. Manage and coordinate schedules, appointments, and travel arrangements for staff members.
  2. Schedule meetings, create meeting agendas, take meeting notes, and rewrite them for distribution.
  3. Coordinate training with office support staff.
  4. Handle incoming and outgoing mail, emails, and phone calls.
  5. Prepare and edit documents, reports, and presentations.
  6. Maintain organized and up-to-date filing systems, both physical and digital.
  7. Provide administrative support for projects and initiatives.
  8. Coordinate meetings and events, including arranging logistics and distributing materials.
  9. Manage office supplies and order replacements as needed.
  10. Act as the primary point of contact for internal and external inquiries.

Requirements

  • The ideal candidate should have excellent organizational skills, strong communication abilities, and the ability to work well under pressure.
  • A minimum of four years of experience above the routine clerk level in office support or secretarial work is required.
  • One year of this experience must have been as a Secretary 2 or its equivalent.

Preferred Qualifications

  • Experience providing secretarial support to an executive, manager, or unit.
  • Experience managing and meeting deadlines with competing priorities.
  • Experience coordinating, scheduling in-person and remote meetings, and taking minutes.
  • Experience developing office procedures and systems, including electronic filing, invoicing, and supply ordering.
  • Experience with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and OneDrive.
