Client Intake Specialist

We are seeking a highly organized and detail-oriented Client Intake Specialist to join our team at the Law Office of Adriane S. Grace, PLLC. As a Client Intake Specialist, you will be responsible for handling all client intake and onboarding processes, providing exceptional customer service, and supporting our legal staff.
Responsibilities:- Process all new potential client calls and provide excellent customer service during the client intake and onboarding process
- Organize client files, both paper and electronic, and maintain accurate records
- Schedule meetings with clients and ensure timely follow-up
- Provide administrative support to the legal staff, including e-filing and other tasks as needed
- Draft correspondence to clients and other third parties
- Communicate with clients with updates and gather information
- Assist at estate planning signings and other client meetings
- Update the Firm's databases, reports, or spreadsheets to track incoming calls, leads qualified, meetings scheduled, referral sources, and other key metrics
- Assist with the Firm's business development and marketing strategies designed to connect with prospects and engage referral sources who refer prospects
- Minimum 2 to 3 years of experience in a law firm as an administrative assistant or secretary
- Comfortable working with all Microsoft Office products and experience with Apple computers
- Spanish-speaking preference
- Organizational skills and communication skills are necessary for this position
- Education and/or work experience equivalent to a bachelor's degree
- Experience with a CRM, particularly data tracking and reporting, is required
