Job Summary

The Lead Receptionist Coordinator will play a pivotal role in the development of client relationships within the context of compassionate end-of-life care. This position will work closely with the Manager of Operations and Director of Operations to ensure seamless operations of our practice, encompassing client interactions and efficient cross-departmental collaboration.

Key Responsibilities
  • Patient Admissions and Discharges: Oversee the process of patient admissions and discharges, ensuring a smooth and efficient experience for our clients.
  • Operational Improvements: Collaborate closely with the Veterinary Manager of Operations and Director of Operations to determine opportunities for operational improvements, driving growth and development within our team.
  • Training and Development: Train all new Care Coordinators, ensuring they have the necessary skills and knowledge to provide exceptional care to our clients and their pets.
  • Product Knowledge: Maintain a strong understanding of veterinary products and medications, including prescription medications, veterinary diets, over-the-counter medications, and supplements.
  • Client Concerns: Work with the Veterinary Manager of Operations and Director of Operations to review and respond to client concerns, ensuring timely and effective resolution.
  • Administrative Tasks: Check patients in and out, handle invoicing and payments, and enter data into our computerized billing program.
  • Communication: Answer phone calls, respond to client inquiries, and handle incoming and outgoing mail and email.
  • Client Reviews: Handle client reviews and testimonials, ensuring our clients feel valued and appreciated.
Requirements
  • Customer Service Experience: At least 2 years of customer service experience, with a proven track record of providing exceptional service.
  • Animal Care Experience: At least 5 years of experience practicing front-line animal care specifically in a veterinary office, with a strong understanding of veterinary products and medications.
  • Communication Skills: Exceptional verbal, written communication, and interpersonal skills, with the ability to display compassion and empathy.
  • Organizational Skills: Strong organizational skills, with the ability to multi-task and prioritize tasks effectively.
  • Tech Savvy: Proficient in using technology to manage administrative tasks and communicate with clients.
  • Team Orientation: A team-oriented individual with a strong commitment to collaboration and teamwork.
