Key Responsibilities

Essential Duties:

Under the guidance of supervisory staff, the Receptionist will handle a variety of administrative tasks related to patient intake and perform essential functions within the clinic.

Specific duties include:

  • Facilitate patient check-in during visits and ensure all necessary documentation is completed for an efficient admission process while adhering to clinic and regulatory standards.
  • Manage incoming phone calls and direct them to the appropriate personnel.
  • Schedule patient appointments in accordance with office protocols.
  • Collect and verify patient and insurance details, including copays and deductibles.
  • Digitally archive patient access documents into the electronic medical record system.
  • Prepare patient charts for upcoming appointments, ensuring all required information is accurate and complete.
  • Oversee patient checkout processes, including pricing services, collecting payments, and arranging follow-up appointments.
  • Assist with the organization and retrieval of records, including filing registration documents in electronic medical records.
  • Confirm next-day appointments and inform patients about necessary documentation, including payment details.
  • Follow up with patients regarding missed appointments and send appropriate notifications.
  • Carry out additional tasks as assigned.
Qualifications

Required Skills:

  • A high school diploma or equivalent is mandatory.
  • Familiarity with insurance authorization and billing processes. Strong customer service and communication skills are essential. Organizational and time management abilities are required. Proficient computer skills are necessary. Understanding of clinic operations and regulatory guidelines is preferred. A strong work ethic and professionalism are vital. Ability to work collaboratively and manage multiple tasks in a dynamic environment.
