Job Summary

The Administrative Associate 4 directs and manages the administrative office, programs, and personnel of the UTHSC College of Medicine-Chattanooga Dean's office.

This position carries out administrative and management directives as issued by the Dean(s), reducing the time and involvement of the Dean(s) in the daily administration of the college.

Key Responsibilities
  • Manage the faculty evaluation process in Digital Measures for the Dean, meeting all deadlines and collaborating with Chairs to resolve problems with the evaluation process.
  • Serve as the liaison on campus to provide Digital Measures education to all new and existing staff.
  • Manage faculty promotion processes, collaborate with the Dean to establish a timeline, ensure proper procedures are followed, and ensure timely submission of all completed dossiers to the College of Medicine.
  • Assist the Dean with solicitation of letters of recommendation for all promotion candidates, schedule meetings for the UTHSC-COM-Chattanooga Promotion and Tenure Committee, and submit all required documentation to the College of Medicine according to policies and procedures.
  • Assist in the administrative faculty searches (Deans, Department Chairs), assist the appointed Search Committee chairs in scheduling meetings, interviews, placing advertisements, and completing all necessary documentation related to the searches.
  • Manage the daily operation of the administrative office of the Dean; serve as a notary.
  • Review, edit, and send communications on behalf of the Dean.
  • Serve as the liaison for the Dean related to other UTHSC campus Deans, Erlanger Health management team, Erlanger Health Board of Directors, UTC Chancellor, and all professional collaborators.
  • Perform other duties as assigned.
Requirements
  • High School Diploma or GED.
  • Five (5) years of office administrative experience; or Bachelor's Degree and one (1) year of office administrative experience; or Associate's Degree and three (3) years of office administrative experience.
  • Knowledge of healthcare or higher education organizations.
  • Excellent computer skills, including the Microsoft Office Suite and virtual meeting platforms.
  • Knowledge of Adobe Acrobat and exceptional writing, editing, and proofreading skills.
  • Ability to work in a fast-paced and dynamic environment.
  • Excellent organization and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to exercise professionalism and discretion.
