Position: HubSpot Coordinator

Role Summary:

The HubSpot Coordinator serves as a crucial link between MindCare Treatment teams and partner locations. This role is essential for organizing, assisting with, and managing clinical operations, appointments, and information sharing across various sites and healthcare providers utilizing telemedicine technology. As part of a multidisciplinary team, the HubSpot Coordinator ensures the delivery of high-quality telemedicine services, adhering to company policies and partner requirements.

Compensation: $25/hour

Schedule: (M-F) 3:30pm-12:00am EST - remote

Key Responsibilities:

  • Facilitate effective and safe clinical consultations.
  • Collaborate closely with healthcare providers and client staff to ensure timely and accurate reporting of medical records, schedules, billing, and outcomes.
  • Manage and coordinate appointment schedules, including pre-appointment preparation and delivery of final encounter notes and supporting documents.
  • Operate telemedicine and electronic medical record systems, including video conferencing equipment.
  • Assist client sites in optimizing clinical time through efficient scheduling and immediate communication of provider availability changes.
  • Adhere to proper billing and documentation protocols.
  • Support sites with patient selection and informed consent processes.
  • Administer screening tools to patients.
  • Conduct and document customer satisfaction checks as required.
  • Perform additional duties as necessary.

Required Skills and Qualifications:

  • Ability to work independently with minimal supervision.
  • Strong teamwork skills.
  • Excellent verbal communication skills, particularly in customer service.
  • Proficient written communication and documentation abilities.
  • Flexibility to work hours as needed to meet patient and facility demands.
  • High integrity and strong problem-solving skills.
  • Exceptional organizational skills with the ability to meet deadlines.
  • Proficient in Microsoft Office Suite and medical office software, including electronic medical record systems.
  • Commitment to maintaining the confidentiality of patient information.

Education and Experience:

  • 3 to 5+ years of experience in a behavioral health facility or practice focused on psychiatric/mental health treatment, or equivalent.
  • 2+ years of experience in practice administration, including scheduling, record keeping, and billing.
  • Experience with telehealth technology, including video conferencing.
  • Knowledge of psychiatric medications and acute psychiatric service lines is strongly preferred.
