Medical Supplies and Records Coordinator Job Summary

We are seeking a highly organized and detail-oriented Medical Supplies and Records Coordinator to join our team at Covenant Living Communities. As a key member of our healthcare operations team, you will be responsible for ensuring the smooth operation of medical supplies and records management across our facilities.

Key Responsibilities:
  • Perform medical records functions, including preparing health records, maintaining a permanent register of resident admissions and discharges, and ensuring compliance with organization policies and state and federal regulations.
  • Maintain medical office supply inventory, order supplies as needed, and ensure all areas requiring medical supplies are stocked according to required levels and needs.
  • Receive and stock campus supplies, deliveries, and equipment, and review entries for discrepancies before submitting to administrators.
  • Prepare purchase orders weekly and submit to assigned vendors, and serve as a member of the QAPI Committee.
  • Distribute supplies weekly or as needed, and maintain the supplies, equipment, and materials for daily operations.
Requirements:
  • Associate's Degree required; Bachelor's Degree preferred.
  • Medical records certificate preferred.
  • At least one year's experience in long-term care.
  • Understanding of medical supplies and uses.
  • Basic computer skills, including Microsoft Office system, Excel, and other computer software.
  • Ability to communicate effectively in English, verbal and written, with residents and staff.
  • Dependability, common sense, and ability to organize medical supplies and medical records to finish each day's assignment.
  • Ability to follow written and verbal instructions and work within standard policy and procedures with limited direct supervision.
  • Basic understanding of infection control measures.
