The Event Stage Coordinator operates under the guidance of the Production Manager, overseeing all stage-related functions during rehearsals and live performances.
KEY RESPONSIBILITIES
- Establishes strong, professional relationships with performers and clients, delivering prompt, friendly, and personalized service to enhance their overall experience.
- Facilitates communication with artists, clients, and team members to ensure timely completion of tasks and adherence to schedules, addressing any necessary adjustments.
- Develops and distributes the Run of Show to stagehands, crew, and venue management.
- Coordinates the activities of stagehands and crew, assisting with or overseeing the preparation of the stage, including the unloading, setup, and arrangement of concert elements such as instruments and equipment.
- Collaborates with venue management to resolve any health, safety, or logistical concerns.
- Ensures that performers receive all requested amenities for backstage facilities, including specific food and beverages, and maintains the green room.
- Guides talent and crew to their designated areas.
- Oversees technical aspects as needed, monitoring lighting, sound systems, microphones, and other equipment during rehearsals and live events.
- Supervises pre-show testing of lighting, sound, rigging, and other stage equipment.
- Clears the stage before performances and notifies acts when it is time to perform, ensuring that talent and production staff remain on schedule.
- After the concert, manages stage cleanup and the loading and shipping of stage elements.
- Reviews emergency protocols and enforces regulations to prevent security issues or safety hazards, coordinating backstage security with the security team.
- Complies with all company policies and procedures as outlined in the Staff Handbook.
QUALIFICATION REQUIREMENTS:
Experience Required:
- High School Diploma, GED, or equivalent preferred.
- Previous experience in venues or small music clubs is advantageous.
- Must successfully pass a criminal background check.
Skills and Knowledge Required:
- Exceptional organizational abilities.

- Capability to manage multiple tasks in a dynamic environment with minimal supervision.
- Outstanding service orientation.
- Excellent interpersonal skills with a focus on customer service.

Physical Requirements:
- Must thrive in a fast-paced, high-energy, and physically demanding environment.
- Ability to stand, walk, and reach for extended periods.
- Must be capable of lifting and moving objects as required.
- Ability to maintain balance on uneven or slippery surfaces.
- Must be able to carry loads up to 50 pounds and exert up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently.
- Required to utilize physical capabilities including climbing and navigating stairs and ramps.
- Able to hear sounds at normal speaking levels with or without correction.
- Capable of working in environments with moderate to high noise levels.
- Specific vision abilities include close, distance, color, peripheral, depth perception, and the ability to adjust focus.
- Willingness to work varied shifts, including evenings, late nights, weekends, and holidays.
