Job Summary

The Programs Site Manager is a leadership role responsible for the administrative oversight of programs teams within an assigned location. This position requires supervision of client-facing roles, programmatic coordination of housing-first initiatives, HIV case management programs, and HIV/STI prevention strategies.

Key Responsibilities
  • Travel, drive, or have reliable transportation for work-related activities
  • Utilize a computer for typing and patient/client care
  • Recruit, interview, hire, and train management-level staff
  • Oversee daily workflow, provide constructive performance evaluations, and facilitate team success
  • Address discipline and termination of employees in accordance with company policy
Additional Responsibilities
  • Oversee direct service staff, including recruitment, hiring, leave time approval, timesheet and expense report approval, disciplinary procedures, training, salary negotiation, and staff development
  • Provide training and utilization support to staff on HIV and related health determinants, health record systems, and program-specific procedures
  • Manage intake, assignment, transfer, and closure processes per agency and funder guidelines
  • Ensure all documentation is maintained through Equitas Health, ODH, and other software systems
  • Ensure client eligibility for assistance programs by auditing client files for supporting documentation
  • Oversee confidentiality practices to ensure staff adherence to confidentiality policies, HIPAA, and professional standards
  • Identify and engage healthcare professionals to provide quality services to HIV+ and high-risk HIV individuals
  • Develop strategic community partnerships to expand comprehensive HIV+ and high-risk HIV interventions
  • Collaborate with colleagues to implement targeted evaluation and quality assurance efforts
  • Point of contact for project officers at local health departments and government or private funders
  • Develop ongoing strategic community partnerships
  • Organize assignment, event, or project elements, communicate with participants, and manage difficulties
  • Conduct client-centered HIV test counseling services as needed
  • Represent the community at local planning advisory groups
  • Ensure action items and updates are provided to staff proactively
  • Listen and respond to feedback from clients, staff, and community partners
  • Promote a collaborative working environment and demonstrate sensitivity, team building, support, and respect
  • Provide support and training to staff on learning health record systems, Health Advocacy and Programs procedures, and program-specific eligibility and assistance services
  • Demonstrate initiative and leadership by anticipating and problem-solving service interruptions
  • Operate a large mobile sprinter van for community-based healthcare service events
  • Maintain administrative needs of the office site

Four years of management experience is preferred. A Bachelor's Degree in Health and Human Services or a related field is preferred. Must have sensitivity to, interest in, and competence in cultural differences, HIV/AIDS, minority health, sexual practices, harm reduction, and working with Black, Indigenous, Persons of Color (BIPOC), Lesbian, Gay, Bisexual, Transgender, Queer (LGBTQ) communities.
