Key Responsibilities
  • Coordinate multiple conference calls and meetings with internal and external stakeholders
  • Manage complex Outlook calendar tasks, including scheduling appointments and meetings
  • Screen incoming calls and voicemails, and respond accordingly
  • Draft, edit, and proofread documents, including cover letters, memos, and emails
  • Interface with lobbyists and other external partners
  • Handle all incoming and outgoing mail, faxes, and correspondence
  • Coordinate all personal and corporate charity responsibilities and board of director responsibilities
  • Maintain the CEO's filing system and ensure accurate record-keeping
  • Fill out expense reports and reconcile credit card bills and receipts
  • Obtain special permits and licenses as required
  • Monitor night messages, security cameras, and manage door lock protocols when necessary
  • Assist in the planning of employee engagement events and coordinate the sending of holiday gifts and cards
  • Maintain conference room scheduling calendars and organize agreements/leases and contracts for office products and services
  • Pay for office purchases and schedule A/R and project meetings
  • Organize all charity and sponsorship events, including processing check requests, creating guest lists, and follow-up with attendees
  • Coordinate PR efforts, including monthly meetings with consultants and continuous communication regarding press releases
  • Assist in keeping the company website up-to-date and track dates related to unique family matters
  • Carry out various miscellaneous tasks, both business and personal
  • Maintain records for company vehicles and EZ Passes, and obtain insurance ID cards for vehicles
About You

We are looking for a highly skilled and experienced Executive Assistant with a minimum of 8 years of experience in a related support position. The ideal candidate will possess:

  • Excellent Microsoft Office skills (Word, Excel, PowerPoint, and Outlook)
  • A dynamic and proactive approach, comfortable in a fast-paced environment
  • A polished, professional demeanor
  • Outstanding communication skills
  • A proactive go-getter attitude, with no task too big or too small
