Position Summary:

The Chief Operating Officer (COO) will be responsible for overseeing operations, financial management, human resources, information technology, and compliance. Reporting directly to the CEO and serving as a key member of the senior leadership team, the COO will play a crucial role in developing, implementing, and managing JFNA's operational processes, workflows, and procedures. This role is essential for managing daily operations, allowing the CEO to concentrate on broader strategic initiatives.

The COO will collaborate closely with the CEO and fellow executives (Chief Marketing Officer, Chief Impact Officer, Chief Philanthropy Officer, and Managing Director of Jewish Education) to develop, implement, and oversee the operational components of the annual budget. The COO will establish structure, efficiency, and accountability across all departments.

Key Responsibilities:

Operational Management

  1. Design, develop, and execute operational policies that align with organizational goals.
  2. Establish and maintain a consensus-driven structure for effective administrative operations (Finance, Human Resources, Information Technology).
  3. Analyze operational data to identify improvement opportunities and implement solutions.
  4. Oversee the preparation and submission of the annual operating budget, ensuring effective management within this budget while accurately reporting progress and challenges.
  5. Manage relationships with external Accounting, HR, and IT vendors, including contract negotiation and legal coordination as needed.
  6. Administer the annual compensation process, conducting salary surveys and market trend assessments to ensure equity across the organization.
  7. Act as the primary liaison to the Finance Committee alongside the Director of Finance, interpreting and explaining financial results.
  8. Develop and control operating budgets to ensure fiscal responsibility.
  9. Summarize critical financial matters for the CEO, facilitating discussions on risks and business impacts.
  10. Engage with external auditors and accounting firms to address their recommendations.
  11. Coordinate processes with the Houston Jewish Community Foundation regarding JFNA funds and shared audit coordination.

Leadership and Team Development

  1. Lead and mentor the operational team, fostering motivation, vision, and a strong organizational culture.
  2. Collaborate with the CEO to implement the organizational vision, strategy, plans, budgets, and procedures.
  3. Build cross-functional relationships with teams in philanthropy, education, marketing, and impact.
  4. Provide leadership and oversight for all operational functions, including finance, HR, legal, IT, and facilities.
  5. Anticipate and plan for necessary changes to organizational policies and systems to achieve long-term strategic goals.
  6. Promote effective communication and information flow within teams and across the organization.
  7. Optimize systems and processes for efficiency, productivity, and financial stability.
  8. Regularly evaluate departmental performance to facilitate discussions with the CEO regarding results and proposed solutions.
  9. Manage staff performance by setting clear goals, tracking progress, and addressing performance issues promptly.
Qualifications:
  1. A minimum of ten years of progressively responsible work experience.
  2. At least five years of experience in leadership roles with indirect reports.
  3. Experience in non-profit organizations is preferred.
