Job Summary

The Production Assistant - Audio Visual performs a variety of tasks to support the planning, execution, and documentation of audio visual events and projects. This role is responsible for ensuring the smooth operation of events, managing communication with internal departments and external clients, and maintaining accurate records.

Key Responsibilities
  • Communication and Coordination: Implement changes and additions requested by the Account Executive, communicate with internal departments, and route changes as necessary.
  • Documentation and Record-Keeping: Request and process necessary documentation from external clients, ensure receipt of signed quotes and related documents, and properly file confirmed opportunities.
  • Financial Management: Ensure receipt of deposits in accordance with published process and procedure, complete final invoicing with the Account Executive, and monitor deadlines for submitting TPLs and LOLs to Equipment Logistics.
  • Event Support: Work with the Account Executive to post schedules and documents on the Show Portal, ensure onsite crew is well-informed, and confirm quoted equipment and labor is current and correct.
  • Expense Reporting: Review and evaluate technician expense reports for each show, approve or reject as needed, and finalize billing.
  • Quote Management: Review and act on Open Quote Reports, communicate updates, and ensure accurate and timely completion of tasks.
Requirements

The ideal candidate will possess excellent communication and organizational skills, be detail-oriented, and have the ability to work effectively in a fast-paced environment. A strong understanding of audio visual technology and event planning is also essential.
