Position Overview:

Role Summary:

The Parts Room Coordinator plays a crucial role in providing both technical and administrative support to the organization. This position is responsible for the effective organization and procurement of parts, ensuring that the facility is stocked with the correct quantities of necessary components. Key tasks include managing the parts room, monitoring inventory levels, and facilitating timely parts delivery to the maintenance team.

Key Responsibilities:

Inventory Oversight:

  • Maintain precise records of all parts and supplies within the inventory management system.
  • Conduct regular audits and cycle counts to ensure inventory accuracy.
  • Monitor stock levels and reorder parts as necessary to avoid shortages.
  • Source parts to enhance contract agreements, lead times, and reliability.
  • Oversee Vendor Managed Inventory (VMI) programs and manage purchase orders for restocking.
  • Administer the obsolete parts program.

Parts Room Organization:

Ensure the parts room is orderly, clean, and efficiently arranged for quick access to components.

  • Systematically label and store parts for easy retrieval.
  • Prepare kits for work orders generated in the Computerized Maintenance Management System (CMMS).

Procurement and Receiving:

  • Order all necessary parts and supplies for the parts room.
  • Receive, inspect, and stock incoming parts, ensuring accuracy and quality.
  • Follow up with suppliers regarding lead times for orders and deliveries.
  • Build and maintain strong vendor relationships.

Support for Manufacturing Team:

  • Deliver exceptional customer service to maintenance technicians and plant personnel in locating and retrieving parts.
  • Ensure critical components are available to minimize equipment downtime.
  • Act as a backup for the Maintenance Planner when needed.

Data Management and Reporting:

  • Keep accurate records of parts usage and inventory levels.
  • Generate reports on inventory status, parts usage, and reordering requirements.
  • Analyze inventory data to identify trends and opportunities for improvement.

Continuous Improvement:

  • Identify and implement enhancements in parts room processes and systems.
  • Participate in root cause analysis for inventory discrepancies and develop corrective actions.
  • Stay informed on best practices in inventory management and apply them effectively.

Qualifications:

  • High School diploma or equivalent.
  • Familiarity with Maintenance, Repair, and Operations (MRO) and CMMS systems.
  • Minimum of 3 years' experience in a manufacturing environment, particularly in parts management or a related field.
  • Ability to read Standard Operating Procedures (SOPs), blueprints, and technical manuals.
  • Strong skills in parts room inventory management.
  • Excellent analytical and problem-solving abilities.
  • Proficient in computer and mathematical skills.
  • Outstanding organizational skills.
  • Ability to train and motivate team members.
  • Effective written and verbal communication skills.
  • Strong proficiency in Microsoft Office applications, including Excel, Word, and Dynamics365.
  • Understanding of dairy and food plant operations.
  • Mechanical or electrical background is advantageous.
