Job Summary

We are seeking a highly skilled and motivated Human Resources Coordinator to join our team at McMillan Pazdan Smith Architecture. The successful candidate will be responsible for providing general HR support, managing employee onboarding and offboarding processes, maintaining HR personnel files, and ensuring compliance with local, state, and federal reporting requirements.

Key Responsibilities
  • Provide general HR support to the HR team, Firm Leaders, and team members
  • Manage pre-employment screening process, new team member onboarding, and offboarding processes
  • Maintain HR personnel files, business card and name tag ordering process, and employee and payroll data in the HRIS system
  • Manage Employment Verifications, annual onsite flu shot and wellness clinics, and HR audits
  • Assist the HR team with total rewards administration, including employee insurance and retirement activities, Family and Medical Leave Act (FMLA) process, PTO administration, etc.
  • Support recruitment in career fair sign-ups, attendee scheduling, and attendance when needed
  • Assist with the creation and maintenance of HR initiatives, like MPS WELL, the Career Connection Program, Celebrating Years of Service, etc.
  • Prepare HR presentation materials and employee documents, document standard operating procedures for internal HR processes, and maintain confidentiality
Requirements
  • Bachelor degree or equivalent work experience
  • Strong professional presence and ability to work across all levels
  • Strong interpersonal skills; ability to work in teams
  • Must take initiative and be a proactive change agent
  • Excellent time management skills
  • Ability to meet tight deadlines and be flexible to changing work flow and demands
  • Exceptional organizational and follow-through skills
  • Strong verbal and written communication skills
  • Self-motivated and ability to work independently
  • Ability to work well in a matrix management structure (e.g., multiple decision-making leaders/organizations)
  • Working knowledge or desire to learn employment laws and regulations
  • Demonstrated cultural awareness and sensitivity
  • Proficiency with Microsoft Office Suite
Preferred Qualifications
  • Experience in professional services: architectural, engineering, or construction firms preferred
  • SHRM-CP/SCP or PHR/SPHR
