Billing Specialist Job Description

Colonial Group, Inc. is a leading independent chemical distributor in the United States, committed to customer service, sustainability, and innovative solutions. We are seeking a skilled Billing Specialist to join our team.

Job Summary

The Billing Specialist will be responsible for overseeing the billing process for all orders, working closely with internal departments, suppliers, carriers, and external contacts to ensure timely and accurate billing. This role requires strong customer service skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities
  • Ship confirm and push to invoicing status for all assigned orders
  • Ensure all billing is posted on time for the End of the Month
  • Maintain and upload all invoices into customer portals
  • Track, request, and enter CUPS credits for applicable accounts monthly or quarterly
  • Enter credits and rebills for applicable accounts
  • Manage other fixes (cost corrections, freight fixes, etc.)
  • Enter Florida Pollutant Tax, ATF Tax, and Superfund Tax on applicable orders
  • Manage to load demurrage charges and submits to CTI for reimbursement
  • Apply blend fees to applicable orders
  • Approve supplier and carrier invoices in Bottomline
  • Maintain monthly reconciliation reports
  • Maintains training manuals for all invoicing needs, including cost corrections, credit/rebill
Requirements
  • High School Diploma or GED is required
  • A college degree is preferred
  • One year minimum experience in a Billing role is required
  • Familiarity with the chemical distribution or transportation industries is preferred
  • Proficient skills in Microsoft Office Suite, including Word, Excel, and PowerPoint, are required
  • Strong computer skills, including databases and Customer Relationship Management Systems, are required
