Job Overview:

The Event Management Coordinator is tasked with the essential role of orchestrating, organizing, and overseeing events within Zoo Atlanta as designated. This position will involve managing the logistical elements of these events, which include but are not limited to: drafting event notifications, creating layouts of event spaces, coordinating the distribution of equipment, handling event billing, and monitoring event execution, along with other responsibilities as directed by the Public Events Manager.

The Public Events team at Zoo Atlanta is dedicated to planning and executing a variety of events hosted by the Zoo. These events encompass a wide range of activities, from family-oriented and animal-related gatherings to exclusive after-hours events for adults.

Key Responsibilities:

  1. Facilitate the successful execution of all events.
  2. Assist in brainstorming, researching, and implementing innovative ideas for existing and potential new events.
  3. Assess event requirements based on provided information and past events.
  4. Engage in conference calls, site visits, and planning meetings with staff and vendors.
  5. Act as a liaison among volunteers, vendors, business partners, and staff to ensure effective service delivery.
  6. Maintain an accurate inventory of departmental supplies and notify management of any needs for repair or replenishment.
  7. Coordinate event details with internal teams, business partners, and service providers.
  8. Prepare detailed event documentation, including notices, food and beverage requests, and diagrams.
  9. Research and secure exhibitors for relevant events.
  10. Monitor equipment distribution to ensure accurate inventory levels for events.
  11. Maintain organized records of assigned events and activities.

Customer Service Excellence:

Deliver high-quality customer service by responding to requests in a timely and professional manner. Assist colleagues in completing tasks to ensure successful events and provide on-site guest assistance throughout all event phases.

Safety and Security:

Adhere to safety policies and procedures, reporting any hazards and understanding best practices for emergency situations.

Physical Requirements:

Ability to lift moderate weights up to 50 lbs and perform extensive walking, bending, and reaching throughout the venue.

General Requirements:

Follow the company’s dress code and maintain a clean workspace. Complete required documentation in a timely manner and demonstrate flexibility in handling unscheduled events or changes in priorities.

Qualifications:

Preferred candidates will have a college degree, ideally in hospitality management, along with professional communication skills and at least one year of experience in event planning or a related field. Proficiency in MS Office Suite is also required.
