Role Summary

We are in search of a seasoned finance expert to take charge of essential financial operations and serve as a strategic partner across the organization. This role encompasses the management of our order to cash cycle (including oversight of customer contracts and cash inflow forecasting) and the procure to pay cycle (focusing on system enhancements and cash outflow forecasting).

As the Financial Operations Coordinator, you will ensure the seamless execution of financial processes, identify efficiencies, implement necessary controls, and maintain the accuracy of financial data.

You will lead a team of two Finance Analysts who handle the majority of transactional duties, while also providing guidance and mentorship to these team members.

Key Responsibilities

  • Oversee the processing of expert self-billing and supplier payments, supported by Finance Analysts.
  • Manage Accounts Receivable and Accounts Payable bookkeeping (using Xero and Spendesk) with assistance from Finance Analysts.
  • Forecast cash flow for customer receipts and supplier payments, collaborating with the Account Management and New Business Sales teams to predict contract renewals and sales timelines.
  • Administer the Finance Mailbox, addressing supplier and client inquiries or directing them to the appropriate contacts, with support from Finance Analysts.
  • Handle customer invoicing, usage reporting, and deferred revenue management, with assistance from Finance Analysts.
  • Collaborate with Account Management, New Business Sales, and legal teams on customer contract management.
  • Conduct data reconciliation, verification, and analysis to ensure accuracy and derive insights.
  • Propose enhancements to improve accuracy, efficiency, and cost reduction in internal processes.
  • Take ownership of the credit control process (utilizing Chaser software), supported by Finance Analysts.
  • Contribute to monthly management reporting, including KPIs and the Finance Monthly Review Deck.
  • As the team expands, play a pivotal role in mentoring junior team members and developing our Accounts Receivable and Payable functions.

Candidate Profile

The ideal candidate will possess 5 to 10 years of experience in designing and managing financial processes, along with strong organizational and communication skills. A collaborative mindset is essential, as you will interact with various stakeholders both internally and externally.

We seek individuals who thrive in dynamic environments, are adaptable, enjoy solving complex challenges, and can quickly learn new software and systems while building scalable processes.

Qualifications

  • 5-10 years of experience in Finance Processes, with a preference for Accounts Payable and Accounts Receivable experience.
  • Proficient in Google Suite, particularly Google Sheets.
  • Experience with Xero accounting software is preferred.
  • Familiarity with data analysis and reporting; experience with Google Looker Studio is a plus.
  • Knowledge of customer contract management tools (PandaDoc/Salesforce) is desirable.
  • Experience with multi-currency and multi-entity accounting is beneficial.
  • Prior experience managing a small team is preferred.
  • Strong organizational and time-management skills.
  • Experience liaising with external auditors is advantageous.
  • Background in a fast-paced startup or scale-up environment is preferred.
  • Excellent written and spoken English skills.
