We are seeking a proficient Office Manager / Staff Officer to enhance our operational efficiency at Case Management Consulting, LLC. This role is pivotal in supporting our Business Executive and team leaders in managing staff and overseeing daily administrative functions.
Key Responsibilities:
- Act as the primary point of contact for assigned tasks, ensuring all requirements are met, reviewed, and approved by leadership before submission.
- Support the Business Executive and team leaders with various administrative duties related to AOT and its associated offices.
- Facilitate coordination for Continuity of Operations (COOP) and Business Continuity Planning (BCP) to achieve organizational objectives.
- Compile and prepare reports, summaries, and responses to inquiries, drawing from diverse sources of information.
- Assist in the management of daily activities and staff administration for the Business Executive and team leaders.
- Document action items and commitments made during meetings, ensuring follow-up and implementation.
- Prepare necessary materials for conferences, appointments, and meetings, while keeping the lead officer informed of pertinent matters.
- Review outgoing correspondence for approval, providing guidance to resolve any discrepancies or policy conflicts.
- Summarize incoming materials and meetings, highlighting critical issues and coordinating new information with background sources.
- Monitor publications, agency regulations, and directives, taking appropriate action or referring important items to the Business Executive.
- Advise subordinate office personnel on new procedures and gather necessary information for reports and conferences.
- Exhibit strong coordination, non-technical writing, organizational, and customer service skills.
- Extract and synthesize complex information for briefings and documentation preparation.
- Demonstrate briefing skills, project management, strategic planning, and resource management capabilities.
- Communicate effectively in both oral and written formats.
- Collaborate as a team member while consistently meeting deadlines and maintaining attention to detail.
- Work independently and manage pressure effectively.
- Understand COOP/BCP concepts, space planning, records management, and event coordination.
- Identify, analyze, and resolve problems efficiently.
- Serve as an Information Officer (IO) to facilitate Records Management, ensuring proper filing systems and training for office personnel.
Qualifications:
- Active TS/SCI clearance, demonstrating a commitment to confidentiality and security.
- Bachelor's degree in Business Management or a related field, or at least 7 years of relevant experience in lieu of a degree.
- Proficient in Microsoft Office Applications with the ability to independently create materials.
Preferred Qualifications:
- Experience performing general staff officer duties with adherence to guidelines.
- Ability to gather and synthesize information to meet functional needs.
- Experience in research and information gathering.
- Familiarity with the intelligence analysis and production process.
- Basic understanding of the National Security Group (NSG) and its operational dynamics.
- Knowledge of Department of Defense and Intelligence Community practices and policies.
