Payroll Responsibilities
  • Manage the preparation of US bi-weekly/semi-monthly multi-state payrolls within ADP for both exempt and non-exempt personnel, ensuring accuracy and timeliness.
  • Oversee the preparation of international monthly payrolls for countries including Canada, France, the UK, Ireland, the Netherlands, Germany, and Japan.
  • Coordinate with international payroll service providers to guarantee the accuracy, compliance, and timely execution of payroll and annual payroll reporting.
  • Monitor the payroll email inbox, ensuring prompt and accurate resolution of all inquiries and notices.
  • Ensure compliance with US payroll tax regulations by addressing federal and state tax notices, timely filing payroll reports, and liaising with ADP and tax authorities as necessary.
  • Deliver an exceptional employee experience as the primary contact for all internal payroll inquiries, treating all employees with respect and maintaining a high level of trust in the payroll department.
  • Assist the accounting team during month-end close processes by providing support for payroll-related cash transactions, payroll liability journal entries, and responding to inquiries as needed.
  • Collaborate closely with various teams within the People department (e.g., Benefits, People Operations) to amicably resolve issues and collectively enhance both departments.
  • Design, develop, and implement processes to address challenges as we continue to expand our organization in conjunction with our Accounting and People teams.
  • Maintain necessary procedures and internal controls related to payroll accounting.
  • Support the implementation and maintenance of payroll policies and procedures.
  • Regularly monitor and scan all incoming payroll correspondence at Headquarters.
  • Assist the payroll team with special projects, including year-end payroll filings, audit requests, and financial and tax reporting.
  • Support payroll system implementation requirements, including workflow design, user acceptance testing, training, and execution of go-live activities.
Equity Administration Duties
  • Document all equity award activities (grants, exercises, terminations, cancellations) within Carta for all locations.
  • Monitor equity pool reserves, exercises, and vesting events.
  • Assist in addressing employee inquiries related to equity awards.
  • Record stock transactions in payroll as necessary, ensuring that income and taxes associated with employee equity activities (e.g., exercises, vesting) are accurately reflected on W-2s and taxes are remitted promptly to tax authorities.
  • Collaborate with the People Team to ensure timely and accurate employee transactions and provide ad hoc support.
Qualifications
  • A minimum of 3 years of experience in a similar role with a solid understanding of payroll and equity reporting is required.
  • Experience in a late-stage private or public technology company is preferred.
  • Proficiency in processing both US and international payroll is essential.
  • Experience with advanced Payroll and HRIS systems; familiarity with ADP and Workday is a significant advantage.
  • A BA/BS degree is required, with an emphasis in Accounting or Finance being a plus.
  • Basic knowledge of ERP systems is required; experience with Netsuite is preferred.
  • Strong skills in Microsoft Excel and collaboration within G-Suite are necessary.
  • Ability to maintain confidentiality, uphold high ethical standards, and exercise discretion.
  • Ability to work collaboratively with others, fostering trust and respect among teams.
  • Excellent problem-solving and judgment skills, along with a high level of attention to detail and accuracy.
  • Strong communication and organizational skills, project management capabilities, and the ability to work under pressure.
  • Ability to manage and prioritize multiple tasks while meeting all deadlines.
