We are currently in search of a Client Support Specialist to enhance our team.
Key Responsibilities:
Onboarding New Clients:
- Engage with new clients in accordance with our procedures, gathering essential information to set them up in our operational system.
- Identify and accommodate any specific requirements for the client, such as invoicing preferences and operational hours.
Maintenance Agreement Management:
- Review and manage monthly renewals, noting any changes or special requirements.
- Ensure timely processing of non-auto-renewed agreements through consistent follow-ups.
Quotation Management:
- Oversee the quoting process, sending updated quotes to clients and outlining the benefits of necessary repairs or replacements.
- Coordinate with relevant personnel for processing and follow up on declined quotations.
- Assist in scheduling client needs with appropriate team members.
Service Orders and Purchase Orders:
- Input service call work orders according to company procedures.
- Assess urgency and coordinate with dispatch and service teams.
- Discuss any outstanding quotes or accounts receivable during client interactions.
- Create and manage vendor and client purchase orders.
Client Satisfaction:
- Maintain direct communication with clients regarding any concerns raised.
- Collaborate with management to address client issues and enhance overall satisfaction.
- Ensure client records are updated with any changes and schedule onsite visits to foster positive relationships.
- Conduct satisfaction surveys and recommend improvements based on feedback.
Additional Duties:
- Perform other office functions as assigned.
Qualifications:
- Experience in the service industry is highly preferred.
- Familiarity with HVAC systems is a plus but not mandatory.
- Strong organizational skills and the ability to manage multiple tasks effectively.
- Ability to work both independently and collaboratively.
- Proficient in computer applications, including Microsoft Office Suite.
- Commitment to providing exceptional service to both internal and external clients.
- Excellent verbal and written communication skills.
- Attention to detail and accuracy in all tasks.
- Decision-making capabilities when necessary.
