Position Overview:

The Leasing Operations Specialist plays a crucial role in supporting the Leasing team with essential administrative and operational tasks. This position encompasses a variety of responsibilities that ensure the smooth functioning of leasing activities.

This is a full-time role featuring a hybrid work arrangement, allowing for three days in the office and two days working remotely.

Key Responsibilities:

Leasing Support:

  • Input leasing agreements into Yardi, including tenant documentation.
  • Generate reports from Yardi Voyager for the Leasing Team.
  • Assist in the preparation of Letters of Intent (LOI) by evaluating tenant conditions.
  • Conduct basic assessments of Tenant Rents, Cost of Occupancy, and Deal Terms.
  • Utilize Content Cloud for lease documentation.
  • Research and compile contact details for potential tenants.
  • Leverage social media platforms to identify and engage prospective tenants.
  • Collect and provide sales data to tenants.
  • Share and manage content with tenants using the Box platform.
  • Update monthly leasing and merchandising plans.
  • Prepare leasing presentations for tenants.
  • Coordinate team meetings by creating agendas and distributing minutes.
  • Maintain spreadsheets for leasing initiatives, including tracking contract negotiations.
  • Assist in organizing events for industry meetings and conferences.
  • Distribute property information packages.
Restaurant Leasing Coordination:
  • Oversee and update restaurant-related reports (e.g., Monster Report, Deal Summary Report).
  • Schedule regular discussions with property leasing leads to align on restaurant objectives.
  • Create and update One Sheet Summaries for restaurant strategies, incorporating metrics and availability.
  • Maintain a comprehensive Restaurant Availability report.
  • Provide monthly updates for the Mobile Leasing Deal Summary sheet.
Administrative Duties:
  • Reconcile purchasing card expenses and prepare mileage reimbursement reports.
  • Assist in managing calendars for Leasing Managers.
  • Coordinate travel logistics for the Leasing team as necessary.
  • Engage with annual budgets and leasing plans.
  • Perform additional tasks as assigned.
Qualifications:
  • 1 to 3 years of experience in leasing support or administrative functions.
  • Thorough understanding of lease agreements and deal entry processes.
  • Familiarity with basic forecasting principles and financial reporting.
  • Strong analytical capabilities are preferred.
  • Excellent communication skills that promote teamwork and collaboration.
  • Proficient in various software applications including Outlook, Excel, Word, PowerPoint, Adobe Illustrator, Photoshop, Kofax Nuance PDF, SharePoint, Box, and Yardi.
