The HR Records Administrator is responsible for a variety of tasks centered around the collection, organization, filing, validation, retrieval, summarization, and distribution of HR-related documentation.
This role supports numerous business operations, including but not limited to:
- Processing applications.
- Managing the employee lifecycle from onboarding to offboarding.
- Addressing inquiries from external entities, such as government bodies.
- Providing assistance for workforce requests (employment verification and others).
Many requests received by the HR team necessitate actions involving HR records. As such, the HR Records Administrator plays a crucial role in receiving, prioritizing, and addressing these requests.
This position entails the daily management of highly sensitive information concerning applicants and employees. All responsibilities must be executed in accordance with the organization's security protocols to ensure the confidentiality and integrity of the records.
Key Responsibilities- Create, organize, validate, and maintain employee files.
- Act as the primary point of contact for all personnel files.
- Ensure that personnel files are comprehensive and adhere to organizational standards.
- Supervise the digitization of paper documents.
- Oversee the work of others in digitizing various electronic documents, ensuring they are accurately integrated into the HRIS.
- Conduct thorough reviews and audits of new hire documentation, including I-9s and E-Verify, ensuring compliance and timely retention of employment eligibility forms.
- Respond to inquiries and explain HR policies and procedures.
- Generate necessary employee letters and documentation using HRIS, Word mail merge, or Adobe PDF.
- Timely respond to employment verification requests.
- Assist in gathering data for compliance audits.
- Manage incoming mail and letters.
- Process and prioritize Help Requests received via various channels.
- Maintain a detailed log of issues, including priority, status, and due dates.
- Collaborate with other HR team members to ensure timely responses.
- Escalate unresolved issues as necessary.
Required:
- Proficient in Outlook, Excel, Word, and Adobe PDF.
- Experience handling highly confidential records.
- Background in help desk or customer support roles.
Pay: $23.50 per hour
Expected hours: 40 per week
Schedule: 8-hour shift
Experience: Leadership: 1 year (Preferred)
Work Location: In-person
