This position is essential for efficiently onboarding a substantial number of caregivers, typically between 20 to 40 weekly. The coordinator ensures that caregivers are adequately prepared for their orientation, promotes effective communication with recruiters and branch personnel, and supports the overall success of our caregiving team.

This role is fully remote. Only candidates residing in the Pacific Time Zone will be considered.

The ideal candidate will be a quick learner who retains information effectively and adapts swiftly to ongoing changes in their tasks. The position oversees a multi-step process from the acceptance of an offer to post-orientation. Candidates must possess experience in onboarding or a comparable role that demands high attention to detail, the ability to manage a significant workload, proficiency in organizing spreadsheets to track progress/statuses, and familiarity with various software/systems.

Key Responsibilities

Caregiver Integration

  • Oversee and implement the onboarding process for new caregivers, ensuring that welcome communications, necessary documentation, background checks, and tasks are completed accurately and punctually.
  • Provide caregivers with all essential information and materials to prepare them for their orientation.
  • Address caregiver inquiries and offer support throughout the onboarding journey.

Collaboration and Communication

  • Work closely with recruiters to gather all required information and documentation from the interview process.
  • Maintain transparent and consistent communication with branches and recruiters to keep them updated on the status of caregiver onboarding.
  • Promptly and effectively resolve any issues or challenges encountered during the onboarding process.

Orientation Assistance

  • Provide real-time updates to branch partners regarding the onboarding status of caregivers and those cleared for orientation.
  • Remain accessible to branch partners during orientation to address questions about outstanding onboarding tasks and facilitate the conversion of new hires to employees upon their arrival.

Compliance and Record Keeping

  • Ensure that all caregiver files are complete and adhere to company policies and regulatory standards.
  • Incorporate relevant certifications, evaluation due dates, and licenses into caregiver profiles to guarantee accurate compliance reporting.

Process Enhancement

  • Continuously identify opportunities to refine and enhance the caregiver onboarding process.
  • Propose and implement improvements to ensure a seamless and efficient experience for caregivers.

Qualifications & Requirements

  • Demonstrated experience in high-volume talent acquisition or onboarding (30+ hires per week); experience in the healthcare sector is preferred.
  • Strong organizational capabilities with the ability to juggle multiple tasks, deadlines, and systems simultaneously.
  • Exceptional communication and interpersonal skills, emphasizing teamwork and collaboration.
  • Familiarity with compliance and regulatory standards in the healthcare or home care sector is advantageous.
  • Proficient in utilizing HR software and systems for tracking and maintaining caregiver information.
  • Moderate proficiency in Microsoft Excel or Google Sheets.
  • A high school diploma or equivalent is required; a bachelor's degree in human resources, business administration, or a related field is preferred.
  • Ability to successfully pass background and reference checks.
